JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Administrative Assistant will work closely with the Borrelli Institute for Real Estate Studies (BIRES) executive team and the Risk Management department support group to manage the overall day-to-day operations of BIRES.
Position Summary:
Key responsibilities for the Borrelli Institute for Real Estate Studies (BIRES) include: event planning of various BIRES advisory board and alumni society functions, assist in the production and compilation of alumni databases, update and maintain the BIRES presences online, monitor BIRES budgets and facilitate the accreditation renewal/revision process for various undergraduate and graduate real estate programs.
Responsibilities:
Event Planning - Coordinate all aspects of events hosted by BIRES, including BIRES board meetings (twice/year), networking events, facilitate real estate boot camp offerings and student recruitment. Events can range in size from 20-150 attendees with budgets up to $50,000.
Relationship Building and Management - Compile and maintain a database of real estate alumni to promote events and develop ongoing alumni relationships. Develop and implement procedures to foster alumni involvement with students. Cultivate relationships with commonwealth campuses, advisors, undergraduate and career units across Penn State.
Budget - Work within budget allocations and monitor BIRES expenditures for events. Will be responsible to processing purchase orders, contract requests, and receiving quotes for events. Track donations to BIRES and award scholarships through eSteward.
Website Update - Create and maintain content, keep updated news and events, including newsletters and real estate society information. This would also include other digital platforms such as social media and Suitable.
Supervision/Management:
Person will also recruit, hire, and supervise part-time staff and student interns to ensure efficient operation and coordination.
In addition, the successful candidate will be self-motivated, detail oriented, accountable, and an effective communicator. Must have a professional demeanor with the ability to provide excellent customer service to a diverse audience in a positive and collaborative manner.
Education and Experience: This position requires a minimum of a High School Diploma/GED or Vocational Training/Degree diploma and two years of related experience or an equivalent combination of education and experience.
Travel: This position requires occasional travel related events.

This position will be filled as an Administrative Assistant-Intermediate or Administrative Assistant-Senior Support depending on the final applicant's experience and education.
