Job Summary:
Client is seeking an experienced and highly organized Administrative Assistant to provide professional administrative support.
This role requires excellent organizational skills, the ability to work both independently and collaboratively in a diverse executive-level environment, and the flexibility to handle multiple competing priorities effectively.
Key Responsibilities:Manage calendars and assist in planning internal meetings and external engagements.Make travel arrangements and prepare expense reports as needed.Organize and coordinate department meetings, quarterly events, recognition, and team-building activities, which may require temporary schedule adjustments into the night shift (after 6 PM).Manage cube spaces, aisle signs, and the mailroom.Provide support to factory employees, including assigning lockers and hangers, replenishing office and factory supplies, and assisting IT with phone refresh activities.Collaborate with the culture team as part of a broader department admin team, providing logistics support and proactively formulating solutions to ensure deadlines and goals are met.Maintain accurate and detailed department records, including organizational charts and email distribution lists.Evaluate and interpret requests to determine their significance, taking appropriate action and involving staff when necessary.Work with other administrative professionals to enhance the efficiency of administrative processes.Execute on-site tasks as directed by staff located out of state.Required Qualifications:
Proven teamwork and respect in the workplace with strong problem-solving skills.Ability to handle multiple responsibilities and take initiative while maintaining high performance.Strong interpersonal and communication skills, with comfort interacting with all levels of personnel inside and outside the organization.Ability to recognize potential issues in advance and proactively mitigate them with creative solutions.Highly resourceful team player and self-starter capable of working with minimal supervision and in ambiguous situations.Professional discretion in managing sensitive and confidential information.Impeccable multitasking skills with attention to detail and strong follow-through.Preferred Qualifications:
Previous experience in an administrative support role within a technical or engineering environment is a plus.
