The Document Control Coordinator is responsible for managing, organizing, and maintaining essential company documents to ensure accuracy, accessibility, and compliance with regulatory standards. This role involves overseeing document workflows, ensuring all documents meet quality and regulatory requirements, and updating records in line with company and industry standards.
Role and Responsibilities
Develop and implement document control procedures to ensure consistent creation, review, approval, distribution, and archiving of documents.Organize and maintain a centralized document management system.Coordinate with subject matter experts to create and update documents, ensuring accuracy and compliance with organizational standards.Track and monitor the status of documents in the review and approval process, ensuring timely completion.Ensure that documents are distributed to the appropriate stakeholders in a timely manner.Facilitate the retrieval of documents when needed, maintaining an organized and searchable document repository.Implement archiving processes for outdated or obsolete documents.Conduct regular audits to verify compliance with document control procedures.Communicate changes to document control processes and educate stakeholders on best practices.Identify opportunities for process improvements and efficiency gains within the document control function.Collaborate with cross-functional teams to implement enhancements to document management processes.Maintain accurate records of document versions, revisions, and distribution.Generate reports on document control metrics and key performance indicators.Requirements
Qualifications and Education Requirements
4 or more years of experience as Coordinator of Document Control.
Preferred Skills
Bachelor's degree in business administration, information management, or a related field.Proven experience in document control or a related field.Familiarity with document management systems and tools.Strong attention to detail and organizational skills.Excellent communication and interpersonal skills.
