SUMMARY:
The Leasing Administrator will be responsible for overseeing leasing documents within the Garden Communities Family of Properties. This position will also be responsible for ensuring standards and guidelines for approving applicants are met and that leasing staff complies with internal policies and external housing regulations. This position has access to highly sensitive financial information and business plans of Garden Communities and requires a high level of discretion and absolute confidentiality regarding confidential business information and trade secrets .
ESSENTIAL DUTIES & RESPONSIBILITIES:
The Leasing Administrator's duties and responsibilities include, but are not limited to, the following:
• Ensures leasing staff obtains completed application and income verification on all sales and collects deposits and associated fees. Obtains copies of prospect identification in accordance with company policies and procedures.
• In conjunction with Management team, directs functions of leasing staff, supervise leasing staff's preparation of all leasing paperwork and documents related to residency.
• Maintains resident files ensuring completeness and accuracy of all paperwork and documentation.
• Reviews and approves resident rental applications for move-ins in a fair and consistent manner in accordance with Fair Housing requirements and Garden Communities policies and procedures.
• Responsible for data entry into online systems, including DLS, Yardi, On-Site, Renter's Insurance program, and all other systems, as necessary. Ensures data is entered thoroughly and accurately.
• Ensures accuracy of leases, renewals, move-in/outs, 30-day notices, rental cancellations, change of move-in/out dates, rentals, roommate add-ons, and transfers.
• Coordinates a calendar of scheduled move-ins, ensuring all move-in appointments are completed.
• Provides orientation and on-site training to new leasing consultants to supplement other training programs. Provides continual feedback and guidance to existing as well as new leasing consultants on skill building and product knowledge.
• Attends, conducts, and participates in weekly meetings with Property Management staff to discuss performance, leasing trends, company goals, training, and motivation.
• Attends and participates in monthly meetings with Property Management staff and Maintenance Staff to discuss performance, leasing trends, company goals, training, and motivation.
• Perform necessary steps to lease a Corporate Apartment.Know and adhere to all Federal, State and Local laws, as well as policies and procedures issued by company. Fair Housing and harassment training to be completed yearly.• Ensures leasing staff has thorough understanding and complies consistently with company policies and procedures.
• Develops a motivated team through effective mentoring. Provides guidance and support as needed to staff.
• Performs other tasks as assigned or requested.
QUALIFICATIONS:

EDUCATION/EXPERIENCE:
• 2 years' experience and/ or training in a leasing position or higher; or equivalent of education and experience.
• High school degree or equivalent required, Bachelor's degree in business related field desirable.
TECHNICAL SKILLS REQUIRED:
• To perform this job successfully, an individual should have working knowledge of Microsoft Office Suite.
• Understanding of property management software, including Yardi and OneSite a plus.
PHYSICAL DEMANDS:
• Must be able to lift, push, pull, and/ or move up to 25 pounds. Regularly required to sit, stand, walk, or otherwise move about the property, units, and rooftop, squat, open doors, climb/ descend stairs. Operate standard office equipment (computers, phones, copier, fax machine or scanner) and do filing.
COMMUNICATIONS:
• Must be able to communicate (orally and written) in a professional manner on a regular basis with prospective residents, current residents, staff, management, and co-workers within the company as well as with outside vendors. Must be able to work as part of a team. Follows instructions and responds to management's direction. Takes constructive criticism and uses it as a learning tool.
SUPERVISORY RESPONSIBILITIES:
This position supervises Leasing Consultants. Regardless of status or position treats those who are supervised with respect and consideration.
ATTENDANCE AND PUNCTUALITY:
• Is reliable and consistently at work and on time; willing to travel, and work evenings, weekends, and holidays, as needed.
TRAVEL
• Travel may be required within the Southern California Region and Arizona region.
