Position Details
This is an open recruitment to establish an eligibility list for the current vacancy and any vacancies which may occur within a period of one year, or until the eligibility list is depleted. Typical assignments range from 4-8 hours per day, 217 days per year. The current assignment will work 4 hours per day, 217 days per year at Sage Creek High School.
The recruitment process will consist of a written examination and a structured interview.
BASIC FUNCTION:
Under the direction of an assigned administrator, perform a variety of duties involved in student attendance record-keeping and reporting activities; process and verify excused and unexcused absences; distribute, collect and process attendance and various other forms and documents.
Essential Duties and Knowledge, Skills, and Abilities
Perform a variety of duties involved in student attendance record-keeping and reporting activities; provide accurate reporting for daily attendance activities and update attendance data and records for required ADA reports; assure accurate and timely distribution of related data and materials.
Verify, process and record excused and unexcused absences; retrieve and log absence calls and messages from automated recorder; process and verify student absence notes and information from parents and others; contact parents, teachers and others to verify absences.
Compile data and prepare and maintain a variety of records, logs and reports related to attendance, students, ADA , truancy, discipline, enrollment and assigned activities; establish and maintain filing systems; assure accuracy of attendance records in accordance with State attendance laws.
Utilize a computer to input, scan, code, update and modify attendance and other student information; establish and maintain automated student records; initiate queries, develop spreadsheets and generate a variety of computerized lists, reports and documents; code attendance data as required.
Confer with students, parents, outside agencies, faculty, administrators and the public concerning attendance matters and other assigned functions; assist with resolving attendance issues and conflicts in a proper and timely manner.
Prepare, print, distribute, collect, verify, process, sort and file various attendance forms such as scantrons, rosters and verifications as assigned; review forms for accuracy and completeness; make corrections or request additional information as needed.
Monitor student attendance and assist with identifying attendance issues and discrepancies; identify, verify and communicate student truancies and forgeries and report excessive absences to appropriate personnel; prepare and issue student referrals and detention and Saturday school slips as required.
Provide general assistance and information to parents, students, staff, faculty and others concerning attendance and related discipline issues, information, policies and procedures as requested.
Issue passes to students who are late or returning after an absence as assigned; issue off-campus passes as required; retrieve students from class and distribute messages to students as requested; compile and request homework and assignments for absent students as needed.
Operate a variety of office equipment including a copier, fax machine, scanner, computer and assigned software; utilize, set up and assure proper operation of automated calling system to notify parents of student absences as assigned.
Register new students as assigned; compile, assemble, distribute and explain enrollment materials and information; review, verify and process enrollment forms and information; assure proper completion of required paperwork; establish, prepare and set up permanent student records.
Compose, type and distribute a variety of correspondence such as lists, letters and notices; duplicate materials as needed; compile student records, birth certificates, immunization information and other records and information as required; prepare and process various student discipline paperwork.
Monitor inventory levels of office supplies; assist with ordering, receiving and maintaining adequate inventory levels of office supplies as assigned.
Train and provide work direction and guidance to student assistants as assigned.

Entrance Qualifications
Any combination equivalent to: graduation from high school and two years clerical experience including record-keeping duties and some work with student attendance functions.
Selection Process/Additional Information
Candidates who meet the minimum requirements, as demonstrated in their application materials, will be required to successfully complete a competitive testing process to measure the knowledge, skills and abilities necessary to perform the essential functions of the job, which may consist of a written examination, a training and experience evaluation, a performance examination, and/or structured oral interviews. The candidates achieving the top three ranks of the appropriate eligibility list will be referred for a final selection interview. The Eligibility List resulting from this examination may be used to fill vacancies in related job classifications for which no Eligibility List exists (Ed Code 45272).

Pay Increases: New classified employees are typically placed on the first step of the assigned salary range. Step increases occur annually until Step 5 is reached, after which longevity steps are allocated in accordance with years of service.

Sick and Personal Necessity: Employees earn sick leave on a basis of 1 day for each month in paid status, resulting in up to 12 days of sick time per year. Employees may use up to 7 days of their sick leave balance each year for personal necessity purposes.
Retirement: Retirement: Employees working 4 or more hours per day and those already contributing to CalPERS will be automatically enrolled into CalPERS upon hire. The District's CalPERS formula is 2% at 55 for employees enrolled with CalPERS prior to 12/31/2012 and 2% at 62 for employees who have already or will enroll into CalPERS as of 01/01/2013 or afterward. Employees working less than 4 hours per day will be included in an alternative retirement plan based on the use of pretax contributions.
