Salary Range: $21,096.50 - $25,316 Annually

We are looking for an Office Assistant provide general administrative support to members of the Social Work Services staff to ensure overall efficiency in the operations of the Department.

What will I do?Coordinate activities for production, copying and distribution of reportsPrepare documents to accompany reports and prepare correspondence and documents as neededSort, copy, prepare, assemble and file reports and formsPrepare and distribute correspondence, including certified mail, form letters, and other information for those servedRespond to telephone and e-mail requests and redirect as appropriateMaintain office equipmentMaintain supplies and forms for DepartmentFront desk coverageRoute all incoming and outgoing callsProvide basic information regarding the GGRC and local officesGreet visitors in a professional and courteous manner and informs staff of visitor arrivalsEnsure lobby and front desk are neat and professional in appearanceMaintain Reception Area literature rackParticipate in special projects, and assist with additional duties or tasks, as assigned by a supervisor, including transcription, intake trackingMaintain all client information as confidential in compliance with the federal Health Insurance Portability and Accountability Act of 1996 (HIPAA) and the California Lanterman ActRequirementsWho are we looking for?
Written communication: ability to develop standard business communications, using proper grammar, spelling and punctuationUse of discretion and ability to maintain confidentialityAbility to type 60 wpmAbility to use internal records systemBasic familiarity with MS Word®, MS Excel®, MS PowerPoint®, MS Outlook® or similar software applicationsAbility to operate basic office equipment, including scanners, copiers, faxes, phonesOral communication: ability to convey complex information and ideas in a clear, concise and professional mannerHigh School Diploma or equivalent1+ year experience in office setting involving production typing, machine transcription, processing of documents, and a variety of general clerical dutiesCoursework in Office Management or Medical Office AssistanceExperience in multi-cultural settings and/or multi-lingual capacity
