A prestigious global Am Law firm is seeking an Executive Assistant to support Partners + Associates within the Corporate Practice. The EA delivers proactive administrative support to Firm partners, taking on a leadership role that is vital to the partner’s practice.
This role will be hybrid in Washington, D.C.Responsibilities:Provide comprehensive assistance to partners by managing an active schedule of appointments, events, and client meetings. The EA will act as a gatekeeper, screening all calls and meeting requests, ensuring the partner’s time is used efficiently and in line with priorities.Proactively oversee the partner’s daily and weekly schedule, including setting up meetings, coordinating engagements, and organizing travel. The EA will anticipate potential conflicts, prioritize needs, and ensure all arrangements align with the firm’s guidelines.Draft and manage confidential correspondence, including internal and external communication. The EA will be responsible for ensuring content is polished, precise, and appropriately tailored to each partner’s preferences.Maintain and organize electronic and physical files, ensuring compliance with the firm’s confidentiality policies. This includes managing, scanning, filing, and retrieving important documents and mail.Support business development activities by managing key client contacts, monitoring outreach, assisting with pitch preparation, and maintaining CRM databases. This role includes coordinating with Marketing and Finance to ensure seamless preparation for meetings and updating relevant materials, presentations, and social media profiles.Handle billing tasks, such as reviewing monthly bills for accuracy, assisting with month-end estimates, and overseeing collections. The EA may interact directly with the Finance Department to ensure billing processes meet partner and client expectations.Plan, organize, and execute client-related events, ensuring smooth logistics from inception to completion. This includes managing client gifting in a culturally sensitive manner.Skills:5+ years supporting law firm Partners or senior-level Executives in a legal setting, exceptional communication and organizational skills, and strong proficiency in Microsoft Office, Adobe Acrobat, and social media platforms (particularly LinkedIn and Twitter).This role is ideal for a candidate who thrives in a fast-paced environment, demonstrates high accountability, and excels in handling complex, multifaceted tasks independently.
