Position Summary:
The Registration & Data Entry Coordinator will manage and organize participant registration processes and ensure the accuracy and efficiency of data entry at our food bank. This role is crucial in supporting the smooth operation of our services by maintaining meticulous records and providing timely data insights. The ideal candidate has strong attention to detail, excellent organizational skills, and a passion for supporting community-based food access initiatives.
Key Responsibilities:
Participant Registration Management
Oversee the registration process for clients at the food bank, ensuring a welcoming and efficient experience.
Assist clients with completing registration forms, answering questions, and verifying required information.
Collaborate with program staff to confirm registration processes are accessible, inclusive, and adhere to food bank standards.
Data Entry and Database Management
Accurately input participant information, attendance records, and other relevant data into the food bank's database system.
Regularly review and update database records, ensuring data consistency, accuracy, and privacy in compliance with organizational policies.
Run data audits to identify and correct any discrepancies, maintaining the integrity of the organization's data.
Data Reporting and Analysis
Generate routine reports on participant demographics, program attendance, and other metrics as requested by the Program Director or Data Manager.
Assist in data analysis for program evaluations, supporting the team with actionable insights derived from data.
Ensure all data-related tasks align with the food bank's mission and enhance its impact on the community.
Collaboration and Communication
Work closely with food bank staff to understand data needs and adapt registration processes to meet changing program requirements.
Act as the primary point of contact for registration inquiries, resolving issues and providing a positive experience for participants.
Contribute to team meetings, sharing insights and offering feedback to improve data entry and registration workflows.
Attention to Detail : Precision in entering data correctly and spotting any discrepancies.
Speed and Efficiency : The ability to input data quickly without sacrificing accuracy.
Technical Proficiency : Familiarity with data entry software, spreadsheets, and databases.
Problem-Solving Skills : Handling unexpected issues that arise during data processing.
Organization : Keeping data orderly and easy to retrieve.
Teamwork : Collaborating effectively with others to ensure data consistency, and being engaged on all food distribution process, as example:
Efficiency : Ensuring everybody has the same information about food items to avoid food spoilage, mishandle and delays on the distribution.
Communication : Clear communication helps to coordinate efforts and prevent errors, being engaged with the team and serve better our clients.
Reliability : Being dependable and consistent in performing tasks and communicate with the team any change.
Flexibility : Adapting to changes and challenges, such as last-minute schedule changes or unexpected issues.
Customer Service : Ensuring that our clients are satisfied with the service provided.
Safety Awareness : Adhering to safety protocols to prevent accidents and ensure food safety.
Other Organizational Duties
Conduct business in accordance with the DSCS Employee Handbook, exercising sound judgment and serving the best interests of the agency and the community

Qualifications and Experience Desired
Bilingual in spoken and written Spanish, required
Associate degree or certification in data management, administration, or a related field preferred.
Proven experience in data entry, registration, or administrative roles, ideally in a nonprofit or service-oriented setting.
Proficiency in Microsoft Office Suite, particularly Excel, with experience in database systems (e.g., Salesforce, Raiser's Edge) a plus.
Strong attention to detail and high degree of accuracy in data entry tasks.
Excellent organizational and time management skills, with the ability to handle multiple priorities effectively.
Physical Requirements:
Ability to work in the environment and engage with participants directly as required.
Comfortable sitting for extended periods and performing repetitive data entry tasks.
