General Statement of Duties
The purpose of this position is to provide administrative support to the Director of Professional Learning and Leadership, ensuring the organized and efficient coordination of departmental initiatives and responsibilities. This position plays a vital role in supporting the director by managing priorities, facilitating clear communication, and fostering a well-organized and effective work environment. Through these efforts, the role contributes to advancing departmental objectives and aligning daily operations with broader organizational goals.
Essential Duties
• Supports high-level initiatives and provides insight into departmental planning to align daily operations with division strategic goals.
• Assists the director with budget planning, monitoring, and daily implementation, maintaining accurate budget records.
• Utilizes spreadsheets track and monitor data, ensuring current and accurate data to inform decision-making.
• Manages communication, including phone, email, and written correspondence on behalf of the director.
• Organizes professional learning events, managing venue reservations, food and beverage arrangements, and meeting space organization.
• Collaborates with other departments, external vendors, and community members to facilitate department activities and initiatives.
• Reviews and approves professional learning courses submitted to PowerSchool Professional Learning.
• Processes payments for temporary salaries.
• Maintains payroll records and processes department timesheets.
• Coordinates and orders departmental supplies and resources, ensuring operational efficiency.
• Manages the distribution, inventory, and collection of departmental materials.
• Facilitates onboarding and training of department members in systems and processes.
• Arranges travel for departmental activities, including itinerary planning and processing travel forms.
• Maintains a comprehensive department calendar, coordinating staff leave, meetings, appointments, and events.
• Handles confidential assignments with professionalism and discretion.
• Serves in backup and support roles for other departmental office professional responsibilities as needed.
• Performs other duties as assigned to support the director and departmental responsibilities.
Minimum Qualifications
A high school diploma or equivalent is required, as well as proficiency in digital resources including, but not limited to, Microsoft Office Suite, Office 365, and Google Workspace. Essential skills include communication, public relations, organization, and a proactive, positive disposition. Professionalism and a strong command of spoken and written English are also key. The role further requires attention to detail, effective prioritization, problem-solving abilities, adaptability, and initiative.
Additional Information
This 260 day (12 month) position is located at Central Office-School Administration Building in the Staff Development Department. The minimum salary for this position is $50,082.12. This position is available on January 2, 2025.
