This contract position will involve managing a wide range of high-level tasks, from coordinating meetings to handling sensitive and confidential matters. The ideal candidate must be comfortable working on a contract basis, adaptable to changing priorities, and capable of managing multiple tasks simultaneously in a fast-paced environment.Key Responsibilities:Meeting and Schedule Management:
- Organize and manage the Director’s calendar, ensuring all appointments, meetings, and deadlines are prioritized and well-coordinated.
- Coordinate logistics for internal and external meetings, including preparing agendas, gathering materials, and ensuring everything runs smoothly.
- Serve as the primary point of contact for scheduling and logistical requests, ensuring the Director’s time is optimized.Task Management and Planning:
- Manage complex tasks and high-priority projects, ensuring timely completion and effective coordination across various departments.
- Handle sensitive matters such as managing estates, overseeing wills, and facilitating stock transfers with confidentiality and professionalism.
- Oversee the planning of high-profile events and meetings, ensuring that all logistical and administrative details are thoroughly organized.Run Interference:
- Act as the Director’s gatekeeper, managing communications and requests, deflecting less urgent matters, and allowing the Director to focus on strategic priorities.
- Proactively resolve or escalate issues to avoid distractions, keeping the Director’s schedule free from unnecessary interruptions.Deadline and Project Management:
- Track and manage important deadlines for various projects, ensuring key deliverables are met on time.
- Provide status updates to the Director and ensure progress is being made on important projects.Communication and Coordination:
- Facilitate clear communication between the Director, internal teams, and external stakeholders, ensuring all parties are aligned on priorities and objectives.
- Draft, edit, and proofread correspondence, reports, and presentations as needed on behalf of the Director.
- Help maintain relationships with key internal and external contacts, supporting smooth interactions across departments.Miscellaneous Support:
- Adapt to evolving responsibilities and take on various administrative tasks as required throughout the contract period.
- Provide executive-level support for special projects, administrative needs, and ad-hoc tasks that arise.Qualifications: Proven experience as an Executive Assistant or in a similar role supporting senior leadership, ideally in a contract or temporary capacity. Strong organizational skills and the ability to manage multiple priorities and tight deadlines. Excellent written and verbal communication skills, with the ability to represent the Director with professionalism and discretion. High degree of confidentiality, particularly in managing sensitive matters such as estates, wills, and stock transfers. Comfort with using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools. Demonstrated ability to handle complex administrative tasks and high-pressure situations with a calm and composed demeanor. Must be reliable, professional, and able to work independently while being a supportive team member when needed. Must be flexible, adaptable, and able to quickly adjust to changing priorities throughout the contract period. Coachable, open to feedback, and eager to learn.Personal Attributes: Proactive, self-motivated, and able to work with minimal supervision.
