Executive Assistant!
As the
Executive Assistant reporting to the Vice President Workforce Services,
you will be instrumental in coordinating a wide array of daily functions that will be important to the effectiveness and progress of our entire executive leadership team. You will be highly trusted to anticipate needs, and perform comprehensive, moderately complex activities that may include oversight of small projects with responsibility for all aspects of administrative support. In addition, you will manage and resolve issues around multi-calendar management, meeting schedules, event tracking, and travel demands (both domestic and international). You will use this knowledge to strategically support executive requests and third-party planning and coordination. You will be responsible for extensive document management in a confidential and sophisticated electronic profile. In addition to being highly organized, trustworthy, and analytical, the ideal candidate will be a self-starter that takes the initiative, demonstrates strong business judgment, has excellent communication skills, and is an excellent team player that can interact fluidly with a variety of people at all job levels.
You will perform a variety of administrative tasks for the senior-most IT leaders. Responsibilities include but are not limited to:
Oversee all aspects of domestic and international travel, including meeting arrangements
Manage multiple, concurrent communication channels including calendars, email, and phone
Schedule facilities and determine appropriate considerations for meetings and events
Create/prepare general to complex correspondence and spreadsheets, prepare varied and complex reports, and create/design PowerPoint presentation & materials
Maintain electronic and hard copy filing systems unique to each executive
Ensure materials and resources are organized and ready well in advance of meetings
Work with extremely sensitive and confidential information with integrity and effective judgment
Take business meeting notes and compile information into executive summaries
Draft and format business communications, to include emails, memos, letters, presentations, etc.
Work cohesively as a team with other administrative professionals to ensure the best level of support is provided
Handle financial tasks related to corporate credit cards, expense reports, and company car mileage administration
Respond/resolve requests on behalf of the Executive team
Take initiative, receiving minimal direction, and delegating thoughtfully
Answer MS Teams correspondence and direct calls, take messages, and ensure overall professional office appearance as appropriate

Qualifications Required:
Must be presently authorized to work in the U.S. without a requirement for work authorization sponsorship by our company for this position now or in the future
Must reside in St. Louis, Missouri, or immediate surrounding area
Must be able to work a schedule within U.S. Central Standard Time core business hours
This role may require availability after standard business hours to provide executive travel support
5+ years of direct senior executive support experience
Expertise in managing international and domestic travel arrangements
Previous experience managing expense accounts
Strong technical skills, including advanced proficiency in Microsoft products (Outlook, PowerPoint, & Teams)
Ability to effectively manage high volume email and correspondence
Experience providing high levels of customer service to internal and external customers
Strong communication skills, with the ability to effectively communicate and collaborate with a diverse range of executive team members, as well as other members of the administrative team
Expectation of complete confidentiality and discretion on all business matters
Ability to type 60WPM or more
Must have strong organizational skills, attention to detail, and ability to multi-task
Outstanding follow up and follow through on all requests and deliverables
Maintain an exceptionally polished and professional appearance and demeanor
Must possess a high degree of composure and poise, with the ability to remain calm and collected when faced with demanding time frames for deliverables
Must be committed to incorporating security into all decisions and daily job responsibilities
Preferred:
Bachelor's degree is preferred
Previous Executive Administrative experience in a fast paced, high-tech environment is a plus
