The dynamic and collegial Communication, Professional, and Computer Skills Area (CPCS) in the Kelley School of Business has an immediate opening for an Administrative Assistant. This position provides administrative support to the area Directors, Associate Directors, and faculty.

Job Summary

Department-Specific ResponsibilitiesProvides excellent administrative support to the area leadership team and faculty.Exercises judgement and discretion in referring inquiries, resolving problems, and researching requests.Maintains area documentation and correspondence as needed.Maintains confidentiality when appropriate.Communicates professionally in interpersonal relationships.Serves as front-facing physical presence for the department requiring interaction with the public, students, and faculty from other departments.Collaborates with leadership team to schedule semester courses and faculty assignmentsAssists with financial budget; expenses; research account tracking and resolving discrepancies; and teaching assignment systems.Assists with hiring needs (scheduling, gathering documentation).Assists with scheduling summative reviews of faculty.Assists with scheduling and gathering data related to annual reviews.Monitors and processes enrollment requests and class permissions; makes changes to the schedule and communicates with students regarding the schedule.Event planning and overseeing.Oversees travel arrangement and reimbursements.Maintains and tracks office technology and general supply inventory; enters requisitions and responds to procurement activity.Produces simple and complex spreadsheets and documentation.Interprets complex information, researches options and solutions, consults other staff as needed.General Responsibilities

Provides administrative support to executives, exercising confidentiality, tact and diplomacy.Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.Manages executive's calendar, meetings, travel, correspondence, and budget.Acts as informal resource for colleagues with less experience; responds to more complex or escalated inquiries.Identifies, enhances, and follows specific processes and procedures to maximize the efficiencies of the business to which the support is being provided.May perform other duties related to maintaining an internal website and/or working with social media.Qualifications

Combinations of related education and experience may be considered. Education beyond the minimum required may be substituted for work experience. Work experience beyond the minimum required may be substituted for education.

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
