As a SkillBridge Office Administrator intern, you will be responsible for providing administrative support, coordinating office activities, and ensuring a smooth and productive work environment. Your attention to detail, excellent communication skills, and ability to multitask will contribute to the overall effectiveness and efficiency of our office operations.
Responsibilities:
- Administrative Support: Assist in handling daily administrative tasks, including managing correspondence, scheduling appointments, and organizing meetings.
- Office Organization: Maintain office supplies inventory, place orders as needed, and ensure the tidiness and functionality of office spaces.
- Reception Duties: Greet visitors, answer incoming phone calls, and direct inquiries to the appropriate team members.
- Document Management: Organize and maintain physical and electronic files, records, and documentation.
- Calendar Management: Assist in coordinating team calendars, scheduling events, and managing meeting room bookings.
- Travel Arrangements: Support employees with travel arrangements, including flights, accommodation, and transportation.
- Expense Management: Help with processing and tracking expense reports and invoices.
- Facilities Coordination: Liaise with building management and external vendors to address maintenance issues and ensure a safe and comfortable office environment.
- Employee Support: Provide assistance to employees with office-related needs and ensure their well-being during office hours.
- Health and Safety Compliance: Ensure compliance with health and safety policies and guidelines, and take necessary steps to address any safety concerns.
- Office Culture: Contribute to fostering a positive and inclusive office culture, promoting employee engagement and satisfaction.
- SkillBridge Eligibility:
- Have 180 days of service or fewer remaining prior to your date of discharge and you have at least 180 continuous days of active service.
- Obtain approval from your unit commander.
- Agree that participation in SkillBridge can be terminated at any time by the service if mission requirements dictate.
- Educational Background: A degree or diploma in Business Administration, Office Management, or a related field is preferred, but practical experience in office administration will also be considered.
- Organizational Skills: Strong organizational abilities to manage multiple tasks, prioritize responsibilities, and meet deadlines.
- Communication Skills: Excellent verbal and written communication skills to effectively interact with team members, clients, and visitors.
- Attention to Detail: Meticulous attention to detail to ensure accuracy in administrative tasks and document management.
- Problem-Solving Abilities: Proactive problem-solving skills to resolve office-related challenges and address employee needs.
- Adaptability: Ability to adapt quickly to changing situations and maintain a positive attitude in a dynamic work environment.
- Technology Proficiency: Familiarity with office software (e.g., Microsoft Office suite, Google Workspace) and ability to quickly learn new tools and systems.
- Professionalism: A professional demeanor and strong ethics to handle sensitive information and maintain confidentiality.
