Job Description
In this role, you will be responsible for building and managing vendor relationships that help deliver materials and services to our existing properties driving cost efficiency while also maintaining outstanding vendor service. Managing the vendor relationship will entail vendor due diligence, consolidation, performance management, and an overall vendor strategy effectively servicing our properties on a region-by-region basis. Reporting into the SVP of Operations, you will lead the end-to-end contracting process including pricing, service levels and other key contract term negotiations. The ideal candidate will bring expertise in data analysis, contract negotiation, cross-functional relationships, vendor management, and cost-effective procurement practices.
Job ResponsibilitiesCreate a seamless, efficient, and risk-mitigated vendor partnership ecosystem.Develop deep category expertise for multi-family real estate properties and spend categories, including a detailed knowledge of the national or region by region supply base, best practice sourcing strategies, statements of work and service level agreements.Ensure organizational goals, including budget, savings, and supplier performance measures, are met. Identify strategies to reduce expense through renegotiation of existing agreements.Compile reports from internal, third-party databases and other resources to analyze vendor information to understand current costs, ensure best pricing, recommend process improvements and formulate overall recommendations.Responsible for leading negotiations, developing negotiation strategies, completing the contracting process, and resolving disputes.Run competitive bid processes including RFP's, RFI's, RFQ's.Identify and qualify reliable suppliers and subcontractors for various materials and services, ensuring they meet quality standards, cost objectives, and delivery timelines.Ensure all procurement and supply chain activities comply with company policies, industry standards, and local, state, and federal regulations.Foster and maintain strong relationships with Legal, Operations, Finance and other internal customers.Conduct regular performance reviews of suppliers to ensure alignment with quality, cost, and service level expectations and participate in any supplier scorecard evaluations process and benchmarking.Work closely with on property teams including maintenance teams to help assess and material needs and plan accordingly.Candidate Requirements :
BS/BA in real estate management, business, supply-chain, or similar. 5+ years of experience in purchasing or supply chain management. Specific real estate industry experience preferred.Experience managing supplier relationships and negotiating statements of work and service level agreements.Self-motivated; self-starter; extremely proactive; able to work both independently to complete tasks and with others to utilize their resources and knowledge to identify high quality solutions.Demonstrate success at building and maintaining efficient and effective supplier network.Established track record of building and maintaining solid relationships with internal customers.Strong written and oral communication skills, including the ability to present ideas and suggestions clearly and effectively.Excellent analytical, problem-solving and organizational skills.Ability to accomplish multiple tasks within the agreed timeframes through effective prioritization of duties and functions in a fast-paced environment.Generate comprehensive reports for stakeholders, providing updates on project status and milestones.Superior-level negotiation skills and experience negotiating contractsProficiency with vendor management software and tools and applicable accounting system applicationsWorking knowledge of Microsoft Office 365 applications (i.e. Outlook, Teams, Office Suite) and advanced Excel abilitiesKnowledge real estate industry / terminology is a significant plus.
