Assist high school guidance counselors and ensure the efficient and high-quality running of the guidance department office by:overseeing the planning, organization, and operation of the officemaintaining efficient systems and processesinteracting with school and district staff, students, and parentsQualificationsAbility to speak Spanish preferredHigh School diploma or equivalent; Associate’s Degree or higher preferredOne (1) year of general office experienceStrong computer skills - proficient in Microsoft Office (Word, Excel, PowerPoint, Publisher, Outlook); Google Suite, PowerSchool (or other student information system), MUNIS experience a plusStrong human relation skills - position will involve consistent contact and interaction with administrators, co-workers, parents, and community membersHighly motivated with strong organizational skills; able to coordinate multiple tasks simultaneouslyAble to carry out procedures involving multiple components and peopleAble to operate computers, peripheral computer equipment, photocopier, fax machine, and other office equipment with a high degree of skillHighly accurate with numbersExcellent attention to detailsFlexible, punctual, and comfortable working in a fast-paced environmentExperience working in a school setting is preferredEssential Job FunctionsMaintain efficient office procedures and a system for keeping track of requested actions and reportsPerform general secretarial tasks including, but not limited to, producing letters, reports, memorandums, etc., photocopying, filing, distribution of mail, etc.Answer telephone calls and record messagesMonitor all aspects of guidance service for student population, including but not limited to schedules, and scheduling appointments for guidance counselors, and scheduling parent meetingsCommunicate in a positive and effective manner with staff, students, parents, and/or visitorsResponsible for the registration and transfer of students at the high school levelManages the scholarship coordination efforts between the sponsors and the Scholarship Committee.
