Position Description
The Assistant Director of Event Services oversees community and program-based facility use and ensures high-quality event and catering services that align with contractual agreements and the organization’s mission. This position also works closely with GCC’s TEENworks staff to plan and implement training and work shifts for high schoolers, providing workforce development opportunities. Additionally, the Assistant Director of Event Services collaborates to strategically utilize space, monitor staff performance, promptly address issues, and improve processes to meet evolving standards and community needs.Requirements:Duties & Responsibilities
Provides direction and oversight for the Event and Catering team and is on-site to help problem-solve and support as challenges arise.
Maintain a long-term vision for the direction of the Event Services team, ensuring smooth departmental operations and outlining the necessary steps to achieve goals in alignment with the organization's mission, goals, and values.
Ensure cohesiveness and effective teamwork between the Event and Hospitality Manager, TEENworks staff, and the Catering Chef and Instructor, aiming to provide high-quality workforce development for teens.
Supervise, set expectations, and enforce standards for the Event and Hospitality Manager and the Catering Chef Instructor to foster leadership, positivity, collaboration, and receptiveness.
Ensure that the Events Team's technology tools are used correctly to create contracts and apply fees. Establish, enforce, and continuously improve processes and policies for consistent communication and customer service.
Partner with Program Leadership to ensure space is available to fulfill our program obligations & community needs.
Work with GCC Communications staff to create marketing materials for the annual event cycle.
Remain current on all industry trends impacting services provided and revenue.
Ensure customer needs and contractual obligations are met by Event Services staff.
Under the guidance of the VP of Finance, we use budget goals to strategically plan space rentals and service pricing.
Ensure department spending remains within budgetary limits.
Ensure that Event Staff are planning working hours most effectively.
Make informed procurement decisions based on contractual, programmatic, and budgetary restrictions.
Develop procedures and standards and conduct regular inspections in the Catering kitchen to ensure high-quality food preparation and service. Monitor food appearance, cleanliness, and sanitation of kitchens, service areas, and equipment. Implement corrective actions promptly to ensure Public Health code standards are maintained.
Establish and enforce protocols for accurate inventory tracking.
Develop strategies to minimize food waste.
Fill in and support the Event Services Team as needed.
Attend staff meetings required.
Maintain open relationships with programs and the program kitchen.
Maintain and foster strong relationships with external partners, contractors, and vendors.
Perform other duties as assigned.
Supervisory
Supervise Catering Chef & Instructor and Hospitality & Events Manager.
In consultation with the supervisor, Human Resources, and the Executive Team, make hiring decisions, complete staff disciplinary documentation, and participate in termination decisions.
Mediate and resolve conflicts among staff effectively by fostering open communication, understanding different perspectives, and implementing fair solutions. Address issues promptly and professionally to ensure a positive and collaborative work environment.
Set performance goals, coach, and mentor direct reports with support from your supervisor.
Evaluate the performance of direct reports through GCC's performance evaluation system.
Encourage direct report's professional development.
Review and approve payroll-related transactions for direct reports, including timecard review and approval, time-off request review and approval, etc.
Perform to the standards of GCC's leadership values and competencies.
Qualifications
Experience in food service management.
Experience in catering preferred.
Proficient understanding of both Front of House and Back of House operations.
Demonstrates a solid willingness to learn and adapt to new programs and policies.
Strong organizational, project management, and problem-solving skills.
Experience with menu development and execution.
Effective self-motivation and desire to train and lead both staff and teens.
Flexibility in adapting to evolving management needs.
Understanding of budget adherence and food production costs.
Experience with inventory systems and ordering.
Proficient computer skills, including but not limited to Microsoft Office skills: Outlook, Word, Excel & SharePoint.
Special position requirements
Serve Safe Manager Certified within 60 days of employment.
A valid driver's license and an insurable driving record.
Physical Requirements
Capable of maintaining a healthy work-life balance with a flexible and adaptable schedule.
Ability to move up to 50 pounds with or without accommodations.
Ability to stand, reach, and bend for the entire work schedule.
Ability to operate a computer and perform sedentary work as necessary.
