Position Details
Under general supervision, leads clerical workers and participates in clerical work including record keeping, machine operation, reception and composing.
Essential Functions - Typical Duties
Design forms for data collection; compile data for District, State and federal Reports; post data to records, check and verify data, compare data to standard, report deviation; set up suspenses, obtain approvals, agreements, completion certification, payment authorization; ensure deadlines are met; take minutes in long hand; sort, collate; assemble, distribute documents/mail; file and retrieve documents in established/prescribed system.
Using a word processor such as a personal computer or typewriter, key requisitions, letters, memos, reports, proposals, contracts, purchase orders, transportation requests, schedules; operate calculator, copier, duplicator, binder, laminator, card duplicator; order, receive, store, issue office/instructional supplies and audio visual materials.
Meet, greet, ascertain needs of visitors/callers, provide or refer; set up facilities for meetings; post data on activities, facilities use/schedule appointments to calendar; make airline/hotel reservations; make telephone calls to secure information or service; introduce new employees to staff; unlock and secure building.
Assign, direct and control the flow of work to clerical employees/students; evaluate work completed by subordinates; train student workers to perform clerical tasks.
Prepare/compose letters, memos, reports, bulletins, routine form responses of average difficulty; proof read and correct written matter for spelling, grammar, punctuation and format and/or wording of drafts; construct charts, graphs, workshop and teaching aids (charts, games, task cards).
Perform related duties as assigned.
Minimum Qualifications - Education and Experience
Equivalent to graduation from high school and two years of clerical experience; use word processor to key stroke at 45 net words per minute.
LICENSES AND OTHER REQUIREMENTS:
The District's ROP Office Occupation or Adult School Keyboarding Certificate will be accepted in lieu of District typing test providing the ability to keyboard at 45 words net per minute from a clear copy is demonstrated and certified by the Program Administrator. The incumbents program certification date must be within 12 months of application submission.•Health and Welfare Plan for employees and eligible dependents. Plan includes District/Employee paid premium for health, dental, and vision.•Paid Vacation: Vacation is prorated based on months worked per year and longevity with the District.•Holidays: 16 days paid per fiscal year
