The Meeting & Event Specialist is responsible for independently designing and executing enterprise-wide events and activities-such as town halls, executive meetings, holiday celebrations, Hospital Week, and Medical Group Annual Meetings-that align with and support Endeavor Health's strategic goals. This position will lead a Special Event Squad to exercise discretion in making decisions related to event strategy, theme development, and vendor selection. This trusted individual will work with the Internal Communications Director and act as the primary liaison between the organization's leadership and event stakeholders, providing strategic insights and recommendations to enhance event effectiveness and foster organizational cohesion.

This position reports to the System Director of Internal Communications and Engagement and collaborates closely with the Chief Marketing Officer to establish and execute impactful, strategically aligned events.

You will be an integral part of our team, scheduling and managing meetings and events for Marketing & Communications leaders, as well as leading in the planning, coordination, and execution of various system events.

What you will do:

Event Planning: Collaborate with Director of Internal Communications and Marketing & Communications leads to produce and deliver team member targeted events in alignment with system initiatives e.g. Bi-annual CEO 'State of the Union' presentations, CEO town halls, Hospital Week, Holiday Celebrations, Medical Group Annual Meetings, etc.Develop event concepts, themes, event plans - including timelines, budgets, checklists and meeting material development.Venue and Vendor Support: Leads the research and evaluation for potential event venues. Support vendor coordination by gathering quotes, reviewing contracts, and maintaining vendor relationships.Logistical Support: Organizes event logistics such as scheduling meeting rooms, ordering food, room set up, AV requirements and testing, guest lists, transportation arrangements, recruiting volunteers, equipment setup, requesting/tracking/processing of POs and invoices for meetings and events, etc.Marketing Assistance: Works collaboratively to create event materials, including PPT slides, social media content, email campaigns, flyers, etc.On-site Support: Participate in venue selection, general setup and coordination of activities during events. Provide on-site support to ensure the smooth flow of the event. Requires comfort-level for travel across the system geography.General meeting calendar coordination for Marketing leadership teamLearning and Development: Be curious and open to new ideas and opportunities to create new ways for team members to connect and deepen relationships.What you will need:

Education: Bachelor's Degree or equivalent experienceCertification:Experience: 5+ years of experience in project management, meetings & event management, hospitality, marketing, or a related field. Experience scheduling and managing day-to-day meetings for senior leadersUnique or Preferred Skills:

Strong organizational skills and attention to detail.Effective communication skills, both written and verbal.Ability to work collaboratively in a team environment.Expert proficiency in virtual meeting technology platforms, Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).Presentation development e.g. PPT slides, detailed charts/graphs and visual storytelling including photos, graphics; ability to manage dynamic presentations including animation and video/audio files.Flexibility to work on evenings and weekends as event schedules require.Ability to multi-task and manage many work streams simultaneously - likes the adrenaline of being part of a fast-paced team.Desire to drive change and adapt and grow as part of an evolving, energetic organization.Self-starter, solution-oriented, collaboration with a positive, can-do attitude.Experience working in a decentralized, multi-location organization.Passion for events and meeting management - from day-to-day meetings to large, cross-functional events to virtual and hybrid gatherings.
