Job Type Full-timeDescriptionThe Humane Society for Southwest Washington is currently seeking a Mobile Veterinary Clinic Coordinator to join our team. This is a full-time, FLSA nonexempt opportunity.Since 1897, The Humane Society for Southwest Washington (HSSW) has been caring for the animals of Southwest Washington and the surrounding area. We are a donor-supported non-profit with public contracts. Our mission is to rescue, return, restore, rehome, and reconnect one animal at a time. We also own and operate ReTails Thrift Store - the premiere Clark County thrifting experience. Proceeds from ReTails support animal care and shelter operations.Path Forward 2025 is an exciting and ambitious strategic plan focused on five strategic pillars: lifesaving pathways for animals, keeping people and pets together, thriving workforce, mission expansion and leveraging technology. Through these efforts we will build a community low-cost veterinary clinic, behavior and education center and improve animal spaces. Establishing HSSW as a central hub for people with pet-related needs and providing new solutions to issues beyond our shelter walls is a strategic priority.Mobile Veterinary Clinic CoordinatorThe Mobile Veterinary Clinic Coordinator is critical to coordinating our mobile clinic's daily operations, ensuring a smooth and efficient workflow. This role involves scheduling appointments, coordinating with veterinary staff, maintaining inventory, and serving as a key point of contact for clients. The ideal MVC Coordinator has effective communication skills, is detail-oriented, and has a passion for animal care. Reducing barriers to veterinary care in our community will help keep pets and people together and create lifesaving pathways, two key pillars of our strategic plan.Key ResponsibilitiesClient Coordination & Scheduling:Manage daily appointment schedules for the mobile clinic.Coordinate appointments and follow-up visits with clients, providing clear instructions and answering questions about services.Serve as the main point of contact for clients, addressing inquiries, concerns, and service requests promptly and professionally.Clinic Operations:Prepare the mobile clinic for daily operations, ensuring all medical equipment and supplies are stocked, clean, and properly maintained.Assist the veterinary team with administrative tasks, such as recording patient information and updating medical records.Maintain inventory of medical supplies, medications, and other necessary items, ordering replacements.Client Education and Support:Provide clients with information on services, wellness care, and post-treatment instructions as directed by the veterinary team.Help ensure a positive experience for clients and their pets, addressing concerns and reassuring them.Team Coordination:Work closely with veterinarians, vet techs, and support staff to ensure smooth operations and high-quality care.Communicate any schedule changes, updates, or special needs to the team promptly.Logistics Management:Coordinate with identified partners and site hosts to schedule the mobile and wellness clinics, provide communication and information about expectations, timing, set-up, and maintain the relationships.Coordinate the transportation and maintenance of the mobile clinic vehicle(s), ensuring they are in good working condition.Assist with the setup and breakdown of the mobile clinic at each location, ensuring a safe and clean environment for patients.Additional Duties and ResponsibilitiesWork with community partners and organizations to provide mobile clinic services in areas of need.Collaborate with a volunteer workforce with deep knowledge of and passion for the well-being of people and pets in the community.Ensure that appropriate data is collected and analyzed to assess program effectiveness and progress toward goals and identify needs and service gaps.Attend HSSW's public wellness clinics and provide support to staff and volunteers to ensure smooth clinic operations and excellent customer service.Work with the Community Solutions Manager to ensure that HSSW consistently reduces barriers, supports the human-animal bond, and provides equitable access to resources for people and pets in the region.Maintain a knowledge of human/social service issues (homelessness, immigration, mental health issues, poverty, racial inequity, income inequality) and resources.Required QualificationsExcellent people and customer service skills.Strong written and verbal communication skills.Outstanding organizational skills and ability to manage multiple projects.Comfortable working in outdoor environments and a mobile clinic unit in various temperatures/weather conditions.Proficiency with Windows-based software programs; familiarity with animal shelter database programs (i.e., Shelter Buddy) is a plus.Must possess a valid driver's license with an insurable driving record.Ability to drive HSSW's Ford Transit transport van and Freightliner M2 mobile veterinary clinic.Sincere interest in the mission of the HSSW.Physical Requirements & Working ConditionsThis position requires you to be able to operate large company vehicles safely and legally. Additionally, this position requires you to speak clearly with people and to groups of people. Work duties and tasks may require walking, standing, sitting, stooping, squatting, bending, speaking, seeing, listening, utilizing arms, hands & fingers for grasping, lifting, operating computers, answering the telephone, operating a motor vehicle, and working with animals. The position calls for repetitive use of hands in addition to operating computers, telephones, and cell phones and using a computer keyboard for extensive periods. Additional physical requirements may include occasional lifting of large companion animals, food supplies, and equipment that can weigh up to 50 pounds. This position may require occasional work on weekends. The successful candidate for this position must have and maintain a valid local driver's license and be able and insurable to operate our largest company vehicles. You can expect exposure to various weather conditions when working outside the mobile clinic and cramped workspaces when working inside the mobile clinic. Work is also performed at our animal shelter, which operates seven days per week. In either location, you can expect exposure to environmental conditions that include working with and/or near animals, exposure to potentially fractious animals, high noise levels, zoonotic diseases, animal bites and scratches, cleaning chemicals, allergens, and potential exposure to infectious diseases to personally owned animals.This job description in no way states or implies that these are the only duties to be performed.
