The AVC-CR and CTSI are recruiting for an experienced administrator to serve as our new Lead Administrative Officer (LAO). Using advanced skills as an accomplished administrative professional, the LAO will serve as a member of the core administration team, responsible for providing centralized, complex executive level support across two control points for the office of the Associate Vice Chancellor of Clinical Research (AVC-CR) and the Clinical and Translational Science Institute (CTSI). Reporting to the Director of Operations, the LAO independently advances unit initiatives, partners with and provides executive support for the AVC-CR/CTSI Director, and provides ad-hoc project and program support in cooperation with leadership. The successful candidate must demonstrate advanced judgment and competence in selecting methods and techniques for obtaining solutions, exemplify a customer service focused approach, and maintain strength in cross-functional support of the AVC-CR and CTSI's administrative and operational needs. Duties include complex scheduling and calendar management, priority setting for the AVC-CR/CTSI Director, special projects/programmatic support, interfacing with a wide range of internal and external partners, writing and editing correspondences, managing travel, expense reimbursements, meeting, and event planning.We welcome and encourage applications from those with lived and/or professional experience in communities that have been excluded from research, have been historically underrepresented in staff and leadership roles, and whose professional interests center equity and justice.The final salary and offer components are subject to additional approvals based on UC policy.Department Description
The Office of the Associate Vice-Chancellor of Clinical Research (AVC-CR), a division within the Office of Research, provides executive leadership for the UCSF clinical research community to support enterprise-wide administration, infrastructure, and services. This includes representation of the UCSF clinical research community to the Vice Chancellor of Research (VCR), other UCSF leadership, and extramural stakeholders. The office of the AVC-CR works with campus clinical research leadership to improve clinical research support across sites, schools, and disciplines. The office directs and facilitates the development and implementation of innovative programs and activities that address the priorities of the clinical research community. These include programs in clinical trials operations, enterprise-wide biobanking, clinical trial data sharing, and additional areas of need. The AVC-CR also directs and serves as principal investigator for the Clinical and Translational Science Institute (CTSI).The Clinical and Translational Science Institute (CTSI) is a large, highly complex research unit within the Office of the AVC-CR that spans the four UCSF health science schools (Medicine, Pharmacy, Nursing and Dentistry), the UCSF Graduate Division, and collaborating affiliates of UCSF. The mission of CTSI is to facilitate clinical and translational research to improve patient and community health. CTSI does this by providing infrastructure, services, and training to make research more efficient. CTSI develops broad coalitions and partnerships at the local, regional, and national levels to enable a transformation of the research environment. CTSI has $25-$28M in annual funding from multiple sources (NIH, institutional, philanthropy, industry and other) and includes 20 interdisciplinary programs.Required Qualifications
Bachelor's degree in related area and/or equivalent experience/training.Minimum 5 years experience supporting an executive, and/or managing the office of an executive or equivalent administrator; OR equivalent combination of training and experience.Interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising and counseling skills.Ability to exercise excellent judgment, tact, confidentiality, and diplomacy in all interactions, and establish effective working relationships with sensitivity and respect for diversity.Knowledge of a variety of administrative operational activities such as event planning, human resources administration, project management, communications.Political acumen and sensitivities to the differing perspectives and political circumstances within all levels of the organization as well external constituencies.Ability to use discretion and maintain confidentiality.Robust, independent skills in short-term planning, analysis, problem-solving, and customer service.Preferred Qualifications
Thorough knowledge of University rules and regulations, processes, protocols and procedures, policies, and personnel management.Thorough knowledge of human resources policies and procedures for staff and academic employees.Solid to advanced knowledge of common University-specific computer application programs.About UCSF
