For more information, visit www.inovio.com.Job SummaryThe Senior Shipping & Materials Coordinator is primarily responsible for coordinating and monitoring shipments and returns but will also have shared responsibility for warehouse inventory. Document reviews, procedure updates, metrics reporting and change submittals are also part of this role in support of a company-wide mindset of continuous improvement. Frequent collaboration with multiple internal departments in support of shipments, returns, and material handling is required of this position. Special projects related to Clinical Trial and Commercial preparations may also be required of this position.Essential Job Functions and Duties
Management of international/domestic shipments and returns
Ensure accurate and timely processing of shipments and returns in line with logistical requirements, customer demand, and operational procedures.Create, pack/palletize, and coordinate shipments and returns upon request.Proactively monitor shipments and returns to ensure delivery and prevent undue delays.Investigate and resolve shipping discrepancies.Monitor and manage carrier account administration, invoice processing, and agreements.Manage brokerage and Customs-related shipment/return processing and agreements.
Subject Matter Expert (SME) and primary contact for shipping and return inquiries
Work with internal/external customers and vendors to support inbound/outbound shipments.Act as the Inovio SME for logistics advice and assist in resolving logistics-related issues.Participate in and/or coordinate meetings as required.
Stocking and management of materials
Maintain inventory physically and in the ERP system (includes counting/reconciliation).Review and monitor inventory levels in relation to usage and demand.Generate and manage shipping box labeling.Ensure adequate inventory and organization of shipping supplies.Load, unload, and transport materials between storage locations.Coordinate movements of material and with third-party storage provider.
Document writing and supporting projects
Prepare metrics and ERP system reports.Create/revise procedures, process deviations, and other documents as required.Coordinate process improvements related to logistics, material handling, and ERP upgrades.Generate change orders in support of documentation changes.
