At this time, we are not working with any agencies.The Leasing Coordinator is responsible for assisting the Leasing Team and Corporate Office Executives with day-to-day tasks.Responsibilities:Answer phones, greet guests, announce occasionally.Maintain internal phone list.Mail: Receive, sort, stamp, and distribute incoming and process outgoing mail, including preparing certified receipts. Maintain postage machine supplies, update as needed.Prepare and coordinate FedEx and other carrier drop-offs/pick-ups and track the properties for bill backs.Always keep the front lobby and conference rooms presentation ready.Maintain conference room schedule.Maintain tenant email and contact lists.Provide general office support for the corporate team, as needed. Assist with any special projects and other administrative duties, as requested, such as expense reports, travel coordination, luncheons, reservations, calendar management, contact database, etc.Create and maintain various spreadsheets in excel.Assist Associate with creating and maintaining broker mailing lists/databases for mass mailings.Maintain filing systems including creation, printing, labeling, copying, scanning.Help leasing team compile detailed leasing reports for all LPC listings.Assist with compiling Lease proposals when needed.Coordinating DocuSign for various projects.Maintain Salesforce database of clients for leasing team.Assist with compiling commission packages and coordinate processing.Tracking commission payouts through to completion.Mail out leasing campaigns.Assist with updating CoStar & LoopNet as needed for leasing team.Compile detailed leasing reports for all listings.Document new leads with their contact details, intended use, required space, and timing.Track in Excel or View the Space and ensure all information is accurate and up to date.Compile lease proposals when needed at the direction of Brokers.Maintain Salesforce database and organize contacts.Gather updated stacking plans from Property Managers.Create spiral booklets as needed for tours.Prepare deal announcements and graphics.Process commission payments, coordinating with the Asset Manager to ensure timely disbursements.Track payments from start to completion.Compile commission packages and circulate for approval.Follow up with HQ in Dallas for Tenant Rep Brokers that haven’t been paid on their respective deals.Manage mailer campaigns, handling the logistics and ensuring materials reach the right audience.Compile and send personalized mail packages business to business or to owners/tenants.Desired Competency, Experience and Skills:High school diploma; degree from four-year college or university a plus.Two or more years of related experience and/or training required.Strong interpersonal skills; ability to maintain professionalism in a sensitive environment.Excellent communication to effectively and clearly communicate with Brokers and Executives.Familiarity with AIR CRE and have a good understanding of lease drafts, especially ones used by Institutional CRE landlords.Ability to be flexible to handle multiple and changing priorities; sense of urgency.Ability to manage a large work load and work independently and in a team environment.Ability to take direction from multiple sources and grasp issues/assignments quickly.Self-motivated with excellent time management and organizational skills; ability to meet deadlines and balance workload during cyclical periods.Ability to maintain a proactive approach and a readiness to handle Client concerns and processes as well as unexpected emergencies.Knowledge of office administrative duties including the operation and troubleshooting of typical office equipment.Excellent working knowledge of MS Office (Word, Excel and Outlook).This position is
