Position Summary:
Performs complex administrative, technical, and business services coordination duties in support of the Parks and Open Space, Business Services, Recreation, Golf, Special Events, Arts & Culture departments. Exercises direct supervision over all staff members of the Business Services Administrative Specialist team and functions, consistent with the City’s mission and values.
Essential Job Functions:
Office Management:Responsible for the operation of all administrative functions, with emphasis on the support of accounts payable and receivables, as well as coordinating staffing and scheduling for front desk support at the Parks Department office. Provides occasional business administration services to the Red Brick Center for the Arts.
Supervision:Executes leadership and supervision responsibilities through sound judgment, focusing on quality improvement, managing and resolving conflict, fostering a culture of accountability, clearly defining responsibilities and expectations, setting goals, providing motivation and performance feedback, recognizing contributions and encouraging training and development.
Building & Facilities Management:Ensures offices and general areas at the Parks Department office are kept clean and safe for operation. Creates and manages custodial services contracts and cleaning schedules with suppliers.
Project Management:Assists the managers and directors of Parks, Recreation, Golf and Business Services in researching and executing special projects on an as-needed basis.
Human Resources:Acts as department liaison with Human Resources. Performs diversified duties including the processing, monitoring, onboarding, and administration of new and returning employees.
Outreach:Provides support and coordination of public outreach programs including leading seasonal hiring outreach for all Parks, Golf, and Recreation departmental needs.
Technology:Acts as first point of contact for staff regarding trouble shooting for computer hardware and cell phone issues before contacting IT support staff.
Budget:Assists the directors in managing, and administering various Capital and Operations budgets, specifically relating to accounts payable.

Minimum Requirements:Education: Minimum of an Associates degree in business administration or management with a focus on office administration. Preference is a bachelor’s degree.Experience: Five years of progressively responsible professional experience in clerical or administrative work, including two years of supervisory experience.Technical Knowledge: Must be proficient with Microsoft Word, Excel, Outlook, PowerPoint, Oracle, Adobe Professional, AI software, smart phones, and POS systems such as Rec Trac.Licenses & Certifications: Must possess a valid Colorado Driver’s License or be able to obtain one within 30 days of start date.
Position Type and Work Hours:
Regular full time, 40-hour work week, Monday through Friday, hours may vary with workload.
Work Environment:Indoors: Office environment.Outdoors/Off-Site: Meetings, trainings, and appointments at a variety of city facilities and areas.
