SUMMARY
We are looking for a smart, experienced, and motivated
Office Manager
to join our
San Diego
team.
The
Office Manager
is responsible for performing a variety of duties in managing the needs of the San Diego office and working on various initiatives. You will have the ability to work independently on projects and work collaboratively to handle a wide variety of activities and handle confidential matters within the office. This role is ideal for the person who loves to multitask, prefers an ever-changing, challenging, and developing environment, and is curious to learn about all the components of an advertising agency.
This is an in-office position and the candidate must live in
San Diego .

ESSENTIAL DUTIES & RESPONSIBILITIES
Lead logistics and support for the San Diego office move
Main point of contact and liaison between Property Management and The Shipyard
Serve as the first point of contact for any office visitors – providing a red-carpet experience by greeting them, connecting them with the person they are meeting, providing parking logistics, offering a beverage, and giving them a tour of the space as needed
Manage the aesthetics, cleanliness, and order of the entire office space, including conference rooms, kitchen, and private offices
Assist new hires with first week orientation (desk set up, coordination with IT on equipment, coordinating lunches, meet and greets, employee access, and parking management)
Liaison between vendors (other than IT vendors), including but not limited to building contractors, janitorial services, construction contractors, and maintenance service providers
Order supplies and groceries for the break room/kitchen and office supplies
Support department teams with room setup, catering, and meeting logistics for client/vendor meetings
Go-to person for general office needs, ordering supplies, etc.
Support People & Culture team with coordination of office events, including but not limited to event planning and execution (agency all-hands meetings, holiday parties, summer company events, off-site meetings, external/client events)
Support People & Culture team with sourcing candidates in roles throughout The Shipyard Collective (The Shipyard, Fahlgren Mortine, TURNER)
Provide suggestions for office evolutions and enhancements in an effort to continually bring staff the best in office experience that motivates them to come in
Coordinate twice weekly office lunches during mandatory in-office days
Package shipping and receiving
Support the People & Culture team on office events and culture programs, including but not limited to event planning and execution (holiday parties, summer company events, off-site meetings, external/client events)
Other administrative duties, as assigned by People & Culture team and Managing Director
REQUIRED EXPERIENCE, SKILLS & CHARACTERISTICS
3+ years minimum relevant experience as an Office Manager (advertising agency experience is a plus)
Experience working with Executives & C-Suite
Possess the ability to handle confidential information
Proficient in all Microsoft Office applications
Excellent writing and communication skills
Must be a self-starter and able to work autonomously
Must be proactive and able to look at the big picture of any situation that should arise
Technology savvy – able to easily learn new applications
WHAT YOU’LL GET
The overall target range of base compensation for this role is $65,000 - 75,000. Compensation offered will be determined by additional factors such as location and experience.
