Job Summary:
In this role, you will provide document management support, including but not limited to receiving, processing, distributing, retrieving, and maintaining documents and records within the project ECMS (Enterprise Content Management System) and in accordance with company guidelines. You will assist with assembling information to support project activities, resolving issues and questions from internal and external customers, perform quality checks and audits, as well as project closeout activities. Your attention to detail and data accuracy will help ensure successful compliance with document and records management procedures.
The ideal candidate for this role will have an attention to detail to help ensure successful compliance with document and records management procedures, the ability to adjust priorities according to direction, and use of judgment and initiative within guidelines of a well-defined scope.
Work Schedule A (F-F 1st Friday off Schedule) - 6:30 AM to 4:00 PM (flexible). #LI-KL1
?This position is designated as part-time telework per our global telework policy and will require at least three days of in-person attendance per week at the assigned office or project. Weekly in-person schedules will be determined by the individual and their supervisor, in consultation with functional or project leadership."
Major Responsibilities:
Provide document and/or records management services in accordance with established policies, and procedures.
Provide project support for Enterprise Content Management Systems (ECMS) such as Aconex.
Interface on a routine basis with a variety of project personnel in resolution of questions, issues or actions.
Assist in the review of data entry accuracy for assigned work by performing daily, weekly, and monthly quality checks.
Assists project team members with questions or issues related to document numbering, work process, electronic/digital signatures, legibility, etc.
Assemble information needed to support project activities.
Produce reports using standard office automation tools such as MS Excel or Word.
Updates desktop work instructions, plans and procedures.
Education and Experience Requirements:
Minimum of 2-4 years' recent document/records/information management experience. Experience in EPC industry is desirable.
Intermediate to expert proficiency in Microsoft Office Word, PowerPoint, Outlook and Excel.
Required Knowledge, Skills, and Abilities:
Experience with ECMS with strong configuration management functionality
Excellent communication skills (oral and written).
Strong aptitude for automation and eager to learn.
Strong analytical skills to identify problems as well as develop and implement solutions.
Good interpersonal skills to provide daily user support.
Ability to prioritize and flexibility to multi-task in a fluid environment.
Ability to work independently with minimal supervision in challenging, dynamic work environment.
