Position Overview
The
Data Specialist & Assistant to COO
supports with the data collection and entry processes to ensure accuracy and quality of processes and programs. The Data Specialist & Assistant to COO works with COO to assure sites are meeting requirements and expectations for completion of daily service records and reporting, and to assess program quality in relation to grant deliverables and outcomes. This is a full time, hourly position with excellent benefits.
Data Collection and Database ManagementWork with Chief Operating Officer to understand grant requirements relating to data collection and reporting to develop comprehensive processes that fit the needs of the funder and DMBGCSupport Chief Operating Officer with staff training and corrective action on data collection processesDesign and implement plans to gather and accurately record and report all data in a timely mannerServe as program database manager, ensuring the database accurately reflects DMBGC program offerings and associated registrationsEducate program staff on the importance of data collection, methods for collecting data, and their role(s) in the processEnters data into program and member database and runs reports as necessary or as directedProgram Quality and Analysis
Review program action plans in relation to data collection and management and work with Chief Operating Officer to implement changes necessary to support funding and DMBGC goalsDesign program assessment tools to measure success of programs through the lens of members, their families, and staffUse data collected to analyze program quality and enhance programsAnalyze data for trends in attendance and programmatic selection and work with Leadership Team to identify opportunities or solutionsMember Services
Coordinates member registration process, and reviews member attendance records monthly to update the database based off of unsatisfactory attendanceCoordinates communication with schools within service area to provide report card releases and request updated informationCoordinate communication with parents regarding registration processAssistant to COO Functions
Execute daily tasks assigned by the COO, ensuring organizational goals are metContract Coordination: Manage service contracts ensuring timely executionGrant Management: Track grant deadlines, assist in report preparation, and submit financial and program reportsAnnual Reporting Support: Provide information for annual reports and submit necessary documentationMeeting Coordination: Manage calendars, prepare meeting minutes, and distribute agendas for the Board and CommitteesProgram Support: Assist programming team as needed in daily program operations (After School, Summer Camp, School Out Days)Additional Responsibilities
May perform reference checks, prepare or make bank deposits, serve as first backup for Club phone system, and prepare for Board and Committee meetingsMay be required to directly lead programmingMay be required to work evenings or weekends to support special events and programmingOther duties as assignedQualifications
Bachelor's Degree in a relevant field (data analytics, accounting, economics, business, psychology, statistics, or a closely related area) preferredTwo or more years of experience in a youth development organization or one or more years professional experience in data collection and/or analysisAbility to work flexible schedule based upon program/organizational needsGroup leadership skills, including an understanding of group dynamicsValid Driver's License and be approved by the Club's auto insurance providerStrong group and individual communication skills, both written and verbalFamiliarity with reading and interpreting grant deliverables or requirements
