Summary:

Employee is responsible for the management of the Radiology administrative office environment, primarily focusing on physician and executive schedules, coordinating meetings, triaging phone calls, providing information to internal/external customers, ordering supplies, distributing mail/packages, mailing letters, conference room management and manage front office area.Responsibilities:

Main point of contact for Radiology Chair and other administrators in the Radiology DepartmentManage information and flow in a timely and accurate manor for Chair of the DepartmentSupport radiology physician and executive staff with a full range of comprehensive and complex issuesOrganize and coordinate a graduate BE 650 course led by the chair (spring semester)Prepare and disseminate department email communications, mailings, requests and announcements to department faculty and staff as appropriate and requested by the Chair on his/her behalfParticipate in and be accountable and collaborate in a working relationship with department leadership, staff, and co-workers.Maintain a complex calendar of appointments; to include health system, executive team, and variety of other leaders through the health system.Assist International and National visitors to the departmentOrganize difficult meetings due to high ranking attendees.Juggling high stress of continuous interrupted work environment.Greets patients and customers who enter the suite in a prompt and helpful manner at all times.Coordinate daily meetings through communication either written, verbally or both. Coordinate meeting schedules, conference room reservations, audio/visual equipment needs, handout materials and catering. At times prepare agendas and coordination for said meetings.Manage radiology conference rooms on a daily basis. Assist with audio needs for various conference rooms in the Radiology DepartmentAssists in handling written and verbal contact with both internal and external individuals associated with the Department of Radiology, including all, faculty and staff, deans, directors, and all other major organizations including state agencies and other organizationsOrganize and document meeting minutes for various meetings and communications.Provides cross coverage to other team members when they are on vacation or unavailable.Proficient in the use of all systems (fax, mail machine, copier, scanner and the like)Coordinate various routine gatherings to include physician and administrative teaching.Send high level communication via email on behalf of those that you support.Maintain mailroom and associated responsibilities to include; sending out internal/external mail, organizing mail room. Including packages/shipments at times.Concur/Chrome river reimbursements.Ordering various supplies for Radiology as a whole and the administrative office suite.Understanding the workflow and process to order radiology inventory from beginning to end.Coordinate and maintain hard/soft files.Respond to anticipated needs, demands and changing priorities in a timely and professional manner.Performs duties in accordance with Penn Medicine and entity values, policies, and proceduresOther duties as assigned to support the unit, department, entity and health system organization.Facilitate and organize tech week and staff celebrations.Presents a welcoming culture and high level of customer service to all staff, patients, and guests while maintaining a professional environmentOrganize and maintain office filing system.Excellent MS office suite knowledgeCredentials:

Education or Equivalent Experience:

H.S. Diploma/GED (Required)2+ years Related clinical office experience (required)Prior customer service or insurance verification experience in a healthcare setting (preferred)
