About the Job:
As the Sr. Operations Manager at Destination Fabulous, you’ll play a pivotal role in overseeing the execution of high-end events, ensuring the smooth operation of our processes, and driving operational excellence. With a focus on team leadership, logistical coordination, and optimizing workflow efficiency, you'll be responsible for managing the operations that support our event production while maintaining the highest standard of quality. You'll work closely with internal departments, vendors, and clients to ensure seamless event experiences from concept to completion.
Operational Oversight:
Lead the day-to-day operations of Destination Fabulous, ensuring all processes run efficiently and align with company goals.
Oversee event logistics, including vendor management, resource allocation, and on-site coordination to ensure successful execution.
Manage the production timeline, ensuring all event elements are on schedule and aligned with client expectations.
Team Leadership:
Lead and mentor a team of operations staff, event coordinators, and vendors to ensure cohesive teamwork and collaboration.
Delegate responsibilities across the operations team, ensuring tasks are prioritized, assigned, and completed on time.
Foster a positive and high-performance team culture focused on quality, creativity, and client satisfaction.
Process Optimization:
Evaluate current operational procedures and identify areas for improvement to streamline processes and increase efficiency.
Implement best practices and new technologies to optimize event production workflows and improve client satisfaction.
Establish key performance indicators (KPIs) and regularly review operational data to ensure continuous improvement.
Vendor and Client Relationship Management:
Manage relationships with key vendors and suppliers, ensuring clear communication, negotiated terms, and delivery of high-quality services.
Collaborate with clients to understand their vision, translating it into operational plans that ensure a seamless event experience.
Oversee the negotiation of contracts and agreements with clients, vendors, and subcontractors to ensure fair terms and efficient execution.
Budget Management:
Oversee the financial aspects of event operations, including budgeting, cost management, and financial forecasting.
Work closely with the finance department to track expenditures and ensure all events remain within budget while maintaining a high-quality standard.
Provide strategic insights on cost-saving initiatives without compromising quality or client satisfaction.
Data Management and Reporting:
Use CRM systems such as HubSpot to manage client and vendor data, ensuring accurate and up-to-date records for operational efficiency.
Analyze operational performance metrics and create reports to provide actionable insights for continuous improvement.
Prepare post-event reviews to assess overall performance, client satisfaction, and operational outcomes.
Compliance and Risk Management:
Ensure that all events comply with legal, safety, and industry regulations.
Identify and mitigate potential risks, creating contingency plans to address any operational challenges that may arise.
Working Expectations:
Flexibility: Embrace a flexible schedule to accommodate evening and weekend events, ensuring availability during peak times for member gatherings.
Attention to Detail: Demonstrate meticulous attention to detail in every aspect of event planning and execution, from seating arrangements to menu selection.
Communication Skills: Exhibit strong communication skills in liaising with club members, vendors, and internal teams to ensure clear expectations and seamless coordination.
Problem-Solving Ability: Navigate unforeseen challenges with grace and efficiency, employing quick thinking and resourcefulness to resolve issues and uphold event standards.
Leadership: Lead by example, inspiring and motivating event staff to deliver exceptional service and exceed member expectations at every opportunity.
Time Management: Efficiently manage multiple projects simultaneously, prioritizing tasks and deadlines to ensure successful event delivery within budget and timeframe constraints.
Adaptability: Adapt to changing circumstances and evolving member preferences, demonstrating agility in adjusting event plans and strategies to meet dynamic needs.
Professionalism: Maintain a high level of professionalism and integrity in all interactions, representing the club with pride and embodying its values of excellence and hospitality.
Education Requirements:
Bachelor's Degree: A Bachelor’s Degree in Hospitality Management, Event Planning, Business Administration, or a related field is preferred.
Relevant Experience: While a degree is preferred, we value practical experience in event management and hospitality. Candidates with a proven track record of success in planning and executing events may be considered in lieu of formal education.
Certification: Possession of relevant certifications such as Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP) is advantageous but not required.
