Vendor Callout Coordinator

This position reports to:
Supply Chain Lead, Guyana.Role PurposeThe Vendor Call Out Coordinator in Guyana is the focal point for the mobilization of all vendor representatives to support during the offshore campaign.CORE FUNCTIONS:Collaboration with Commissioning Team:
Work closely with assigned teams to understand vendor mobilization requirements and timelines.Vendor Communication:
Initiate contact with vendors, communicate requirements, and gather necessary documentation and information for vendor evaluation.Vendor Mobilization Planning:
Develop and maintain a comprehensive plan for vendor mobilization, including timelines, resources required, and site readiness.VISA and Immigration Document Management:
Manage the submission of VISA and Immigration documents by vendors. Work closely with VISA Agencies to manage document submission and VISA processing.Vendor Call Out Register:
Manage and maintain the Vendor call out register, and update records of Vendor site visit requests.Negotiation and Agreement:
Negotiate terms and conditions, including pricing, delivery schedules, and quality standards. Ensure all agreements align with company policies and legal requirements. Ability to negotiate favorable terms, while maintaining a positive vendor/stakeholder relationship.Purchase Order Placement and Management:
Facilitate the placement of purchase orders (POs) based on agreed terms and conditions, ensuring accuracy and compliance with internal processes.Logistics Coordination:
Collaborate closely with the personnel logistics coordinator to align vendor mobilization plans with logistical needs, including transportation, accommodation, and on-site requirements.Performance Monitoring:
Monitor vendor performance against agreed-upon terms, addressing any deviations or issues promptly.Documentation and Reporting:
Maintain accurate records of vendor communications, agreements, and mobilization plans. Generate reports as required to update stakeholders on progress and outcomes.Industry Knowledge:
Solid understanding of the oil and gas industry, particularly in vendor management and procurement processes.Communication Skills:
Strong verbal and written communication skills for effective negotiation and vendor coordination.Organizational Skills:
Excellent organizational and planning abilities to manage multiple vendor mobilization projects simultaneously.Attention to Detail:
Keen attention to detail to ensure accuracy in contract terms, PO placements, and vendor mobilization plans.Team Collaboration:
Proven ability to work collaboratively with cross-functional teams and external vendors. A strong sense of stakeholder management.Problem-Solving:
