Our faculty and staff are smart, dedicated people who work to create an excellent urban university experience for bright and motivated students.Job Summary:The Associate Dean of Students for Student Affairs serves as a senior student affairs officer for NEIU and reports directly to the Vice President for Student Affairs (VPSA)/Dean of Students (DOS). The incumbent provides high-level leadership, management, and support for the efficient performance of the official duties of the VPSA/DOS, mainly as it is related to coordinating the division and office operations, human resources functions, and budgets in the Vice-Presidential area, and supervising the office staff of Student Affairs. The incumbent must demonstrate expertise in the division and office operations, budgetary planning, and day-to-day implementation and must interact with diverse constituencies across the University (e.g., Divisional Departments, Office of University Budgets, Office of Human Resources/Payroll, Academic Affairs, Enrollment Management, Institutional Advancement, Finance and Administration, and all Student Affairs financial managers). The incumbent will supervise the Administrative/Professional, Civil Service, and student staff in the Office of Student Affairs. The incumbent serves as the division's policy coordinator, coordinates all project management, and fulfills other duties as assigned by the Vice President and Dean of Students while handling sensitive information with the utmost confidentiality.Job Description:Supervise the day-to-day operations of the division's finance, administrative functions, and budget operations; provides professional guidance and support to the division's staff, faculty, students, parents, alumnae, community members, and external contractors.
Assist and plans, directs, supervises, and coordinates work activities for the Vice President for Student Affairs (VPSA)/Dean of Students (DOS) Office staff, including assisting in the management of the VPSA's calendar.
Answers inquiries, makes appropriate referrals, and resolves problems, especially those that require the interpretation, explanation, and justification of administrative policies and procedures within the division of student affairs.
Facilitates operational services and support staff meetings to provide training, developmental skills, and staff service models in the institutional and divisional processes and practices.
Oversees financial status for the division of student affairs; prepares and assembles financial and statistical data reports for use in financial evaluations, including identifying errors and discrepancies, and examines a variety of budgets and financial statements for completeness, accuracy, and conformity with applicable policies and procedures, including athletics.
Ensures confidentiality of information and compliance with university policies and provides instruction, guidance, and training to student affairs staff in financial, audit responses, and administrative-related matters.
Advises hiring managers in recruiting, hiring, and on-boarding process of new hires in accordance with the office of human resources and the division of student affairs processes, policies, and procedures.
Oversees compliance and deadline dates with A&P and Civil Service annual evaluations with the division and timekeeping records with the office of human resource processes, policies, and procedures.
In consultation with the VPSA/DOS and UTS identifies technology priorities within the division and works closely with staff to assign resources to achieve goals.
Supervises the operation of office equipment/furniture including maintenance and inventory of VP/Dean of Students' office and the division compliance and deadlines set by the institution. Anticipates office needs across the division.
Performs a variety of sensitive, confidential, and non-confidential administrative functions, projects, and special assignments by establishing objectives, determining priorities, managing time, and collaborating with offices/departments across the university campus for key events and projects supported by the division of student affairs (i.e., commencement, HSI celebrations, etc.)
Collaborate on the preparation and presents on the VPSA meetings and/or the Board of Trustees Committee meetings. Work in collaboration in the origination and preparation of routine and special reports and studies for these meetings and other related purposes.
Hires, trains, supervises, and evaluates job performance of Assistant Dean, and other VP/Dean of Student Office staff.
Builds and nurtures relationships with students and other campus constituents to serve as a resource for the VPSA and point of contact as designated for key constituents to resolve issues and help to move forward the division's strategic short and long planning, goals, objectives, and outcome.
Maintains professional and technical knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, and participating in professional organizations.
Create and implement the Dean on Call schedule and participate in the coverage rotation for after-hours and weekends to respond to student emergencies.
Participates on divisional and university-wide committees and serves as the liaison to the University's Accreditation Task Force and Policy and Procedures Committee. Monitors, coordinates, and implements policy decisions for the division of student affairs.
Represent the Vice President and Dean of Students at campus/university functions, committees, meetings, and in correspondence as needed.
Investigate issues, consult with involved parties, and provide advice regarding various options for action.
Serves as the designated point of contact by the Vice President and Dean of Students in their absence.
Minimal Qualifications:Master's degree with eight years of experience in higher education and strong leadership, administrative, budget management, operational, and leadership skills or related field. Knowledge of student development theory. Previous experience working in an HSI, Minority Serving Institution or urban college or university setting, experience with student-involved investigations preferred. Experience with student conduct, case management, and knowledge of due process procedures within higher education preferred. Prior experience working in residence life, strong interpersonal skills, experience working directly with college students in a diverse setting, excellent oral and written communication skills, and a demonstrated ability to maintain confidentiality and privacy.(This position requires a background check.)Salary:
