As an onsite general manager for a Home Owners Association (HOA) in California, the primary role is to oversee and manage all aspects of the community’s daily operations, ensuring it runs smoothly and efficiently while adhering to California’s specific HOA regulations and standards. Here’s a general outline of responsibilities and expectations for this role:Responsibilities
Operational Oversight- Manage and supervise onsite staff, including hiring, training, and performance evaluations.- Ensure proper maintenance and upkeep of the community’s common areas, amenities, and facilities.- Oversee vendor contracts, from negotiation to service monitoring, and ensure work quality and timely completion.- Handle emergency situations effectively, coordinating with staff and contractors as needed.Financial Management- Develop and manage the community’s annual budget in collaboration with the board.- Monitor expenses, approve invoices, and report financial status regularly.- Coordinate with the accounting team for timely collection of dues, assessment tracking, and financial documentation.Board & Resident Relations- Act as the primary point of contact between the board of directors and residents, facilitating communication and feedback.- Prepare and present reports for board meetings, addressing key operational, financial, and compliance issues.- Assist the board with decision-making by providing expertise on COA policies and California regulations.Community Engagement- Promote a positive community environment, addressing resident concerns, and encouraging engagement.- Organize community events and communicate updates or changes through newsletters, website updates, and other channels.- Facilitate resolution of resident disputes and uphold community standards.Regulatory & Compliance Management- Ensure compliance with California state laws and local regulations specific to condo associations, such as the Davis-Stirling Act.- Maintain records, policies, and guidelines in accordance with legal requirements.- Handle risk management, including insurance renewals, liability assessments, and claim filings.Strategic Planning- Work with the board to develop and implement long-term improvement projects for property value enhancement.- Conduct regular evaluations of property and operations, identifying areas for cost savings and efficiency.- Coordinate reserve studies and help plan for future maintenance needs.Key Skills and Qualifications
Education: Bachelor’s degree in business administration, property management, or a related field preferred.Experience: 3-5 years in property or community association management, preferably with condos or HOAs.Certifications: CCAM, CMCA, AMS, or PCAM credentials are often preferred.Skills: Excellent communication, financial acumen, conflict resolution, and leadership skills.Knowledge: Familiarity with California’s condo laws and HOA guidelines, including the Davis-Stirling Act.Knowledge of accepted management practices and procedures, building and grounds maintenance requirements, personnel development and administration, and budget/finance.Ability to motivate teams while simultaneously managing several projects.Knowledge of management contracts, CC&Rs and other governing documents.Solid knowledge of Microsoft Outlook, Excel, and Word.Strong leadership abilities and comfort with public speaking (small and large groups).Conflict resolution skills.Ability to meet deadlines and address time-sensitive issues.Superior multi-tasking skills.Excellent written and verbal communication.Ability to provide high-level customer service with astute attention to detail and organization.Essential Functions
Use standard office equipment, including computer, phone, copier/scanner, etc.Be stationary for periods of time.Relocate up to (25) pounds.Travel to and from offsite locations.Monday-Friday from approx. 8:00 am-5:00 pm.** This position may require occasional long hours to meet business needs, including evenings, weekends, and holidays.Compensation & Benefits
