COPE Health Solutions has an exciting new role for an experienced business professional to manage and grow our office operations. The successful candidate must have a bachelor’s degree with a minimum of 1-3 years of experience as an office manager. The successful candidate must be a punctual, reliable, proactive, and quality-driven, high performer, who is exceptionally well organized. They must demonstrate the ability to effectively multi-task and manage constantly shifting priorities with excellent oral/written communication skills, while maintaining strict confidentiality. The Office Manager at COPE Health Solutions will assist the Director of Information Technology and Manager of People Experience with the management and maintenance of the corporate office spaces of our California offices and ensure the smooth operation of the day-to-day business of the company. Additionally, this individual will work closely with the Director of Information Technology to support several ongoing IT projects.

Full TimePosition Description:
Maintain office organization, professional work environment and functionality always.Maintain an updated central contact list accessible to all staff.Exhibiting leadership skills, decision-making skills, conflict management skills and team building skills to generate productive and positive relationships with all team members.Maintain, manage, and assign all badges, keys, and fobs for California corporate offices.Maintain printers and other office equipment.Manage office mail, scanning, and department distribution.Perform miscellaneous basic IT tasks as communicated by the Director of IT.Assist managers with managing, negotiating and ordering additional keys, locks, and/or services from locksmith vendors.Manage cleaning services, ensuring office space is cleaned daily, whiteboards/write-on walls maintained, kitchen and appliances, maintained, etc.Build and maintain relationships with building management, security, and other office support vendors.Coordinate space planning, office upgrades/expansion, internal moves, preparation of workstations, interior design needs and furniture inquiries, etc.Manage/Maintain storage facility, including coordination of an annual reorganization.Assist the CEO with maintaining the budget, inventory, and distribution of office supplies for all corporate offices.Manage, negotiate, and order parking permits/validations, ensuring excellent customer service and ease of parking for clients, Board, employees and contractors.Manage and maintain office space to ensure effective workspace for team members and visitors.Manage and maintain the monthly snack/supply budget for our offices.Organize internal meetings, video conferences and conference calls, including preparing meeting rooms, contacting attendees, facilitating their attendance, ensuring that required informational materials and equipment are prepared in advance.Proactively provide support to the Executive Assistants of our company executives by anticipating needs and finding solutions to potential issues.Attend meetings and take minutes as assigned.Maintain meeting room bookings and handle required set up for meetings, luncheons, etc. for the CEO and other executives as assigned.Maintain lactation/wellness room bookings.Attend and assist with coordination of all company events.Assist in managing the corporate calendar and scheduling complex appointments and meetings.Assist in coordinating the logistics of travel arrangements as assigned.Assist with company banking deposits.Update COPE Health Solutions key client list, corporate mailing list and business development spreadsheet as needed.Carry out other duties, tasks, and projects assigned.Preferred Qualifications:
B.A. or B.S. Degree, Master’s Degree preferred.Minimum 1-3 years of experience as an office manager preferred.Strong customer drive and dedication to quality and success.Excellent interpersonal, oral and written communication skills.Excellent customer service skills.Detail-oriented and able to work well independently.Able to work collaboratively and effectively while handling multiple projects on various timelines in an extremely fast-paced environment.Strong project management, communication, prioritization and feedback skills are critical to success.Ability to travel to our California offices.Technical Skills:
Extremely high level of proficiency with Microsoft Office programs (Outlook, Word, Excel and PowerPoint, and Project Management).Trello.Benefits:
