Summary Salary Ranges: GS - 05: $42,571 - $55,339 GS - 06: $47,455 - $61,694 GS - 07: $52,734 - $68,556 This position serves as an Administrative Support Assistant in a BLM OR/WA State Office, Division of Management Services, Portland, OR. This position independently performs a wide variety of administrative support functions and specialized duties each requiring a comprehensive working knowledge of special and/or complex subject matter, procedures or practices. Responsibilities Duties will be developmental in nature when filled below the full performance level. Promotion to the full performance level is neither guaranteed nor implied and will be based solely on your ability to satisfactorily perform the work of the position, existing work at the higher grade level, and recommendation by the position's supervisor. As the Administrative Support Assistant in this position, you will: This position is an Administrative Support Assistant with a Bureau of Land Management State Office. Major duties include assisting the Administrative Officer and staff with a variety of administrative support needs, including maintenance of administrative records, monitoring corporate mailboxes and calendars, SharePoint site, assigned databases, and data input related to credit cards, purchasing, charge reconciliation and correspondence. Serves as the travel, time keeping and QuickTime coordinator and assists staff with related tasks. Assures all supporting documentation (i.e. overtime and travel authorization, requests for leave etc.) are properly completed. Requirements Conditions of Employment Qualifications In order to qualify, you must meet the experience and/or education requirements described below. MINIMUM QUALIFICATIONS: To be considered minimally qualified for this position, you must demonstrate that you have the required specialized experience and/or education for the respective grade level in which you are applying. Qualifications at the GS-05 Level: Specialized Experience: Applicants must have one full year of specialized experience comparable in scope and responsibility to the GS-04 grade level in the Federal service (obtained either in the private or public sectors) performing the following: I have at least one full year of specialized experience equivalent to GS-04 level in the Federal Service (obtained either in the private or public sectors) performing the following in a developmental capacity: (1) answering telephones, providing information to customers and transferring them to the appropriate individuals; (2) organizing and filing both electronic and hard copy documents to ensure monthly reporting requirements are met; (3) proofreading and printing correspondence for other staff members; and (4) preparing receipts, records, and tracking forms in accordance with current instructions. OR Education: Successfully completed a full four-year course of study above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college, or university. Note: You must submit a copy of your transcripts with your application. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages. The total percentage must equal at least 100 percent to qualify. Note: You must attach a copy of your transcripts. Qualifications at the GS-06 Level: Specialized Experience: Applicants must have one full year of specialized experience comparable in scope and responsibility to the GS-05 grade level in the Federal service (obtained either in the private or public sectors) performing the following: I have at least one full year of specialized experience equivalent to GS-05 level in the Federal Service (obtained either in the private or public sectors) performing the following in a developmental capacity: (1) serving as the clerical point of contact for a wide variety of administrative support functions which include assisting customers and staff to resolve recurring technical problems; (2) tracking divisional budget for supplies and materials in an automated financial system; (3) preparing, editing, and/or finalizing correspondence for office supervisors and managers; and (4) purchasing supplies and equipment using simplified acquisition procedures. For the GS-06 level, you must meet the qualification requirement using experience alone--no substitution of education for experience is permitted. Qualifications at the GS-07 Level: Applicants must have one full year of specialized experience comparable in scope and responsibility to the GS-06 grade level in the Federal service (obtained either in the private or public sectors) performing the following: I have at least one year of specialized experience equivalent to GS-06 level in the Federal Service (obtained either in the private or public sectors) performing the following in a developmental capacity: (1) analyzing historical financial data to develop or monitor budgetary operations; (2) processing daily activities in the areas of procurement, travel, or time and attendance; (3) providing information of services to others. TIME-IN-GRADE REQUIREMENTS: Any individual who is currently holding, or has held within the previous 52 weeks, a General Schedule position under non-temporary appointment in the competitive or excepted service, must meet time-in-grade requirements (must have served 52 weeks at the next lower grade or equivalent in the Federal service). GS-05:Candidates may be advanced without time restriction to positions up to GS-5 if the position to be filled is no more than two grades above the lowest grade the employee held Applicants must meet all qualifications and eligibility requirements by the closing date of the announcement. GRADUATE EDUCATION: One academic year of graduate education is considered to be the number of credits hours your graduate school has determined to represent one academic year of full-time study. Such study may have been performed on a full-time or part-time basis. If you cannot obtain your graduate school's definition of one year of graduate study, 18 semester hours (or 27 quarter hours) should be considered as satisfying the requirement for one year of full-time graduate study. Time-in-grade requirements must be met by the closing date of this announcement. Physical Demands: The work is typically sedentary. Some work may require periods of walking, standing, bending, or driving a motor vehicle. The incumbent may frequently lift relatively light boxes, materials, and supplies and/or carry file orders, copied materials, books, and other similar materials. Working Conditions: Work is typically located in an adequately lighted, heated, and ventilated office environment. The work environment may involve everyday risks or discomforts that require normal safety precautions typical of such places as offices, mail distribution centers, meeting and training rooms, libraries, or motor vehicles.
