LC State invites applications for the position of Administrative Assistant 1.
Salary and rank based on experience and qualifications: \$16.70 - \$17.40
Required Qualifications:
Good knowledge (at least one year experience) of office support functions including word processing, filing, composing a variety of business documents, and reception; Gathering and compiling data; Balancing and coordinating a workload for multiple projects; Communication skills, both verbal and written; Record keeping/document processing skills; Microsoft Word, Excel, Outlook; and Experience budgeting, including monthly expense/balance reconciliation.
Preferred Qualifications:
Associate\'s degree from a regionally accredited college or university; Experience working on a college campus; Experience managing an office, including supervision of staff members; Experience with a Student Information System (SIS); Experience managing correspondence including phone calls, mailings, and emails; Skills in developing publications such as postcards, fliers, and brochures; Experience writing policies and procedures; and Experience with web page maintenance.
Responsibilities:
Record keeping/document processing/bookkeeping including requisitions, budgets, and databases/spreadsheets; Managing office inventory of needed supplies and purchasing, as necessary; Communication/reception/liaison responsibilities such as staff meetings, office coordination, annual and long-range planning, development and maintenance of office procedures & services with student assistants, copy machine operation; Supervision of student assistants including hiring, training, evaluating, time cards, oversight of employment budgets, and delegating work assignments and schedules; Manages correspondence of various internal and external documents including letters, memos, mailing lists, bulk mailings, and record-keeping of outgoing correspondence; Schedules appointments with advisors, arranges travel accommodations, and schedules office repair and maintenance of equipment; Oversees publication/production of items such as forms, brochures, posters, and postcards; Develops and manages event sign-up and evaluation processes; Coordinates phone calls, reservations, materials for distribution, check-in, and follow-up for all STAR (Student Advising and Registration) sessions, phone and individual registrations; Provides support for central advising of freshmen, undeclared, and at-risk students including reception and troubleshooting for walk-in traffic. Other duties as assigned by the Senior Director to create a professional, pleasant atmosphere conducive to an educational office environment. Additional duties include direct and indirect activities to support recruitment and retention of students.
