This is an hourly/wage position and is not entitled to the Commonwealth of Virginia's state benefits package. This position is limited to no more than 1500 hours in a 12-month period and averages no more than 29 hours a week.
The Virginia Department of Social Services, Division of Local Training and Development is currently seeking a
part-time
Administrative Staff Specialist. This position will support the Division Director and the work of the Local Training & Development (LTD) team by providing general administrative assistance with logistics and executive support for the division director and LTD team, as assigned, by coordinating and scheduling meetings, preparing correspondence and reports, processing invoices, completing purchase orders, and other duties as assigned.
Minimum Qualifications
Knowledge and understanding of office administration responsibilities, systems and procedures.Knowledge of the Commonwealth of Virginia procurement policies and financial systems.Demonstrates strong problem-solving skills and ability to prioritize, coordinate, and schedule meetings, events, interviews and conference rooms.Ability to successfully meet assigned deadlines.Demonstrated ability to proofread for accuracy and completeness.Experience creating effective office processes to maximize efficiency.Ability to work proactively to identify improvements of needed services and operations.Ability to manage multiple assignments and set priorities.Demonstrated ability to work collaboratively with others.Demonstrated history of effective client relations and service that provides a positive customer experience.Demonstrates excellent oral and written communication skills.Demonstrates strong organizational and time management skills.Demonstrates strong commitment to confidentiality.Advanced proficiency in Microsoft Office, Word, Excel, PowerPoint, Adobe Pro, Outlook, SharePoint, OneDrive, Visio, and Microsoft Project.Additional Considerations
Considerable experience in office administration procedures and responsibilities in the support of an executive level position.Knowledge of the Virginia Department of Social Services procurement policies and financial systems.Experience creating effective infographics and other illustrations using Adobe Pro or other common software.
