JOB GOAL
Responsible for performing a variety of technical clerical work preparing and maintaining student attendance data and demographic statistics in an assigned school using a variety of computer databases and systems. This includes keying and auditing data to ensure accuracy of all student data required by the state and federal Department of Education (DOE) and the district.
Essential Duties & Responsibilities
Collects all data required to maintain systems supporting transcripts, grade reporting, rank-in-class, student scheduling, school master schedule, instructors file, special needs, LPAC/Bilingual, immunization, social security/state ID numbers, city and state and country of birth, language surveys, college entry codes, dropout recovery, and student demographic data.Verifies the accuracy of all processed data, recognizes discrepancies, and takes corrective action in support of district and court reporting requirements.Completes all input documents, and maintains and updates student database via electronic data transmission, including the school instructor file, student demographic and enrollment data, and grade reporting.Enters course master of all courses offered on campus and inputs into the database.Requests, picks up, and distributes all student database products to appropriate school offices and/or personnel.Communicates and works with other offices within the building, school district, and other school districts.Plans and schedules tasks, taking into consideration school priorities and the departmental calendar.Implements and maintains a recordkeeping system for documentation of new and current staff members, security roles in current student information system, and staff emails and photos.Oversees proper reporting and recordkeeping related to student attendance and enrollment, including transfers, withdrawals, statistical reports, and census cards.Ensures the maintenance of adequate and accurate student records regarding end of year procedures for students and staff.Collects and performs data entry tasks for all student data required by the state and federal Department of Education (DOE) and the district.Establishes, collects, organizes, and maintains data pertaining to assigned clerical tasks and composes departmental reports.Assists with the resolution of minor routine administrative and operational situations.Performs other related duties as assigned.
NOTE: On-site attendance is an essential function of this position.

Knowledge, Skills & abilitiesAbility to read and interpret documents including, but not limited to, safety rules, operations instructions, and procedure manualsKnowledge of and ability to execute advanced principles of office administration and systems, office technology, and workflowKnowledge of and ability to execute advanced office procedures, including filing systems, recordkeeping systems, business correspondence, and reporting formatsAdvanced knowledge of computer operating techniques related to administrative and financial recordkeeping, databases, text processing, reporting, and presentationsProficiency with all Microsoft 365 products as well as ERP (Lawson or similar system), and applicable HR information systemsAbility to advance several simultaneous assignments, with close attention to schedules and deadlinesAbility to work independently, with little direction exercising good judgmentAbility to maintain confidentiality when working with confidential, privileged, and sensitive records, materials, and informationAbility to perform basic mathematics functions and maintain accurate data recordsStrong problem solving and critical thinking skillsAbility to communicate effectively with a variety of audiences, orally and in writing, including electronic mediaExcellent time management skills and ability to organize, prioritize, manage and carry out duties efficiently and within established timeframesAbility to establish and maintain collaborative working relationships with all stakeholdersEducation, Training & Experience
