Position Overview: Job Description:
We are seeking a dynamic and experienced Executive Assistant to join our organization and provide comprehensive administrative support to our executive team. As the Executive Assistant, you will play a crucial role in facilitating the smooth functioning of our executive team's operations and communication. The ideal candidate must be proactive and thrive in a dynamic, fast-paced environment. You will be responsible for managing calendars, coordinating meetings, handling correspondence, and assisting with various administrative tasks to ensure the efficiency and effectiveness of the executive team. Your support of our Executive Team will ensure that they can efficiently accomplish key tasks and focus on growing the mission.
Responsibilities:
Manage complex calendars and schedules for multiple executives, including arranging meetings, appointments, and travel arrangements.Coordinate and schedule executive team meetings, conferences, and events, including preparing agendas, distributing materials, and recording minutes.Manage content and flow of information to executives.Act as a central point of contact for internal and external stakeholders.Prepare and edit documents, presentations, and reports for the executive team, ensuring accuracy and professionalism.Assist with special projects and initiatives as assigned by the executive team, which may involve research, analysis, and coordination with other departments.Provide comprehensive administrative support, coordinate board meetings, board travel, manage correspondence, and facilitate communication among board members and executives.Maintain confidentiality and discretion when handling sensitive information and matters related to the executive team.Anticipate the needs of the executive team and proactively address them to streamline workflow and maximize productivity.Serve as a liaison between the executive team and other departments within the organization, fostering collaboration and communication.Manage expense reports, invoices, and other financial documents for the executive team, ensuring timely and accurate processing.Perform other administrative tasks and duties as needed to support the executive team and contribute to the overall success of the organization.Requirements:
Bachelor's degree in business administration, communications, or a related field preferred.Demonstrated qualities of integrity, credibility, and dedication to the mission of OUR Rescue.Ability to establish and maintain effective working relationships with co-workers and team.Proven experience as an executive assistant or similar role supporting multiple executives.Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.Attention to detail and high level of accuracy in all work activities.Discretion and confidentiality when handling sensitive information and confidential matters.Ability to work independently with minimal supervision and as part of a team.Flexibility and adaptability to handle changing priorities and demands.Positive attitude, proactive approach, and willingness to take on new challenges.What We Offer:
