POSITION SUMMARY:The Store Support Service Specialist role is responsible for serving as the primary liaison with stores, tenants, and other business partners while providing a high level of customer service. In addition, this role receives and triages tasks and projects including but not limited to creating, processing and closing out repair work order requests and emergencies, while ensuring appropriate vendor selection and timely completion of tasks. The Store Support Service Specialist assists the Store Maintenance Service Manager with data collection, retrieval and analysis. This role performs a majority of their work through the company's Integrated Workplace Management System (IWMS).ESSENTIAL DUTIES AND RESPONSIBILITIES:Serves stores with facility issues, by assigning proper vendors or internal resources to address issues and properly manage vendors to completion.Monitor and ensure all internal technicians and external vendors are performing work within predetermined service level agreements at required quality and costs.Assist the Store Maintenance Service Manager with data collection, retrieval and analysis.Execute the resolution of emergency situations by partnering with store leadership, store maintenance, tenants and property managers, and escalate as needed.Ensure vendors are aware of all work orders and follow up with them for arrival time, cost and completion.Regularly communicate with external and internal business partners to update or follow up on tasks and projects, including but not limited to weekly status and work order aging.Provide a high level of customer service to stores, tenants, landlords and other business partnersCreate, process and close out work orders.Reconcile invoices/purchase orders/statements.Maintain accurate vendor records and contact information.Utilize IWMS to reference leases, other agreements or project records to provide the best resolution for known issues.Assist and consult with store maintenance on budget creation and maintain asset conditions, ratings, photos and other necessary documentation.EDUCATION & EXPERIENCE REQUIREMENTS:Associate's or Bachelor's degree in a related field is preferred.2 or more years of professional experience in a call center environment for property management, real estate, retail or related industry is preferred.Proficient in Microsoft Office and Google platform (i.e. Sites, Slides, Drive, Docs, Sheets).Experience in Manhattan or other IWMS is preferred.ATTRIBUTES:Effective Communicator: You possess strong communication skills and have the ability to build and maintain a culture of trust and respect.Team Oriented: You are capable of embracing the ideas of others (even if they conflict with your own) for the sake of the Company.
