Loan Operations Specialist

About the Role:
Countybank is seeking a self-motivated, detail-oriented individual to join our team as a Loan Operations Specialist. This role is responsible for providing support to the loan processing team ensuring daily, weekly, and other periodic functions of loan operations and compliance are performed timely and accurately.
Key Responsibilities:
Business Development Support
- Provide support to the Business development team/lending staff to assist in loan closings, loan documentation, loan modifications, and loan servicing.
Centralized Loan Disbursements
- Maintain centralized loan disbursements of all loans; ensure collection of all fees, controls of advances, and proper documentation to support disbursements.
Document Imaging
- Maintain the loan document imaging system files ensuring all documents are imaged clearly, are readily available in a systematic manner, permanent records are retained, imaging software is utilized as designed, imaging system and processes are continually reviewed and revised as necessary.
Loan Servicing
- Be able to perform the following servicing functions when needed:Booking and Checking: Book and check new loans closed timely and accurately. Ensure data input is verified, GL is accurate, and systems are integrated.
Laser Pro Documentation: Review and produce consumer and commercial loan documents for the business development team ensuring proper documentation and compliance regulations are followed.
Documentation: Monitor the consumer and commercial loan documentation review system to ensure loan packages are reviewed for completeness when received by loan operations, pending documents are accurately identified, timely follow-up is evident, received documents are filed, and tickler reports are current. Track completeness of loan package by relationship manager and report monthly.
Negotiable Collateral: Ensure negotiable collateral reconciliations are performed quarterly and verify loan administration approval is documented for any under-collateralized lines. Report findings quarterly.
Customer Service: Ensure external and internal phone calls are handled with courtesy and quality. Promote phone skills to achieve overall goals in Mystery Shopping program. Assist with non-routine internal and external customer situations; trouble shooting, researching and resolving operational errors as necessary.
Loan Compliance: Coordinate assistance to Loan Administration as needed for specific loan compliance research. Coordinate with Loan Administration internal and external audits. Manage response and timely correction process to audit findings related to loan operations.
Miscellaneous Responsibilities: Ensure mail, filing, ticklers, item entry, reconciliations, etc. are being performed timely and accurately.
Loan Exceptions
- Coordinates follow up on pending loan documents with the business development team, attorneys, insurance agents and others to ensure all are received and verified in a timely manner.
Preparing and Reviewing Periodic Reports
- Prepare monthly reports including:Past due report, charge-off report, and other reports as requested by Loan Administration.
Vendor reports such as Lee & Mason, Colson and SBA.
Loan and Deposit Rate Updates
- Update system specifications for the following as needed:
T-Bill, WSJ Prime, CB Prime, Libor Rates and other indices as required.
Deposit Rates
Sweep Rates
Paid Out Loans and Cure Letters
- Responsible for coordinating timely processing of paid out notes. Reviews cure letters to ensure they are mailed accurately and timely.
Other duties as assigned.
Qualifications:
High School Diploma or equivalent required, bachelor's degree, majoring in business or related field, preferred.
Working experience in a loan support and/or administrative role.
Intermediate to high level of experience with Microsoft Office.
Strong analytical and critical thinking skills with the ability to solve problems effectively.
Ability to maintain a high level of discretion and confidentiality and a professional demeanor in all situations.
Self-motivated with a high level of initiative.
Excellent organizational skills and attention to detail.
Position requires considerable communication with internal customers.
The capability to problem-solve in a group and individually and the ability to share and process information is necessary.
