What You'll Do
This is a job that performs complex (journey-level) professional assistance work for executive staff. Work involves coordinating high-level administrative operations, including disseminating information, preparing correspondence, coordination of calendars and meetings, preparing and editing reports and documents, and maintaining filing systems. Maintains strict confidentiality and works within tight deadlines with competing priorities, demonstrating independence, interpersonal effectiveness, teamwork, and the ability to manage and maintain well-organized functions and details in all areas as assigned. May be on-call responsive to emergencies and business peaks, including during legislative sessions, special sessions, evenings, weekends and holidays as required.
Plans, coordinates, and performs office management and administrative assistant duties, including oral and written communication, scheduling, telephone communication, purchasing, mail sorting and distribution, and record maintenance.Greets visitors, receives and promptly fields internal and external telephone inquiries, and sets up conference calls for the executive staff. Makes logical and timely caller and visitor referrals.Independently and correctly prioritizes calls and emerging issues to determine when prompt, higher-level OOG follow-up action may be required. Demonstrates a sense of urgency and commitment in handling all caller and visitor inquiries.Maintains reception area visitor logs.Operates electronic mail systems and coordinates the flow of information, internally or with other organizations.Communicates objectives, tasks, and decisions to staff on behalf of executive staff.Prepares and disseminates information concerning agency programs, services, and procedures.Coordinates and schedules travel and appointments for Executive staff.Compiles materials for meetings, conferences, seminars, presentations, and trainings.Prepares, edits, and distributes correspondence, reports, studies, forms, and documents.Conducts administrative reviews of reports, documents, applications, or summaries to ensure administrative completeness.Creates, maintains, compiles, and enters data for databases, summaries, and reports.Maintains filing systems, including recording information, updating paperwork, or maintaining documents, records, correspondence, or other material.Assists with preparing Power Point presentations.Responds to inquiries regarding technical program or administrative regulations, policies, and procedures.Provides input into developing and revising administrative policies, procedures, and systems, and provides guidance and interpretation on policies and procedures.Demonstrates sustained knowledge of OOG issues and press releases and matters of public interest.Researches, analyzes, and leads administrative and special projects as assigned.Handles sensitive and confidential situations accordingly.
How You'll Qualify
High school graduate or equivalent; andFour (4) years of experience in administrative support, office work, program support, or customer service-related position.
Note: Experience and education may be substituted for one another on a year-for-year basis.

Graduation from an accredited two-year college or four-year university with a degree in business administration, management, human resources, government, public administration, or related field; andStrong communication and computer skills, including proficiency in Microsoft Word, Excel, and PowerPoint.
