Assistant Property Manager

We are seeking an organized and detail-oriented Assistant Property Manager. The ideal candidate works well under pressure, wants the opportunity to be an impact player, and thrives on getting results.

Key Responsibilities:

  • Respond to Tenant requests/problems in a timely and courteous manner, and generate work orders as needed for the maintenance team
  • Understand the leases of each Tenant to know the rights of both the Landlord and Tenants
  • Ensure that any preventative maintenance work orders that have been placed receive prompt, professional response and follow up with Tenant to verify issue(s) has been resolved
  • Assist Asset Manager with assessing company protocols (inclement weather, etc.), standards and procedures, and make recommendations, if necessary
  • Send notification emails to Tenants regarding expectations, updates, etc.
  • Manage account receivables for all income rent payments and incorporate the late fee and default process, if needed
  • Assist Asset Manager in Admin Assistant training to ensure Tenant and Vendor files are compliant (Certificates of Insurance, financial statements, etc.), and that this information is correct in AppFolio and lease files are up to date
  • Work closely with Asset Manager and Admin Assistant to coordinate new Tenant move-ins, including the introductory letter regarding emergency contacts, move-in inspection, insurance requirements, janitorial schedule, rent collection process, keys, and maintenance procedures
  • Work with Asset Manager on lease expirations / Tenant renewals / Tenant move-outs
  • Work with Asset Manager on monthly Building and Tenant inspections / visits, and create work orders accordingly
  • Ability to make judgment call on in-house maintenance work or coordination with third-party vendors (all documented in Appfolio)
  • Maintain a schedule of annual inspections, i.e., elevator, backflow, fire alarm, etc.
  • Communicate effectively and efficiently between all parties (internal/external) at the property
  • Assist with other projects as needed
