Our client seeking an experienced Executive Assistant to work alongside a team in the founding partners office, providing critical support in managing complex schedules and heavy travel arrangements, including coordination of private jet travel. Key Responsibilities:
- Provide high-level administrative support to senior executives, including managing calendars, scheduling meetings, and prioritizing tasks.
- Make complex travel arrangements, with an emphasis on booking private jet travel, including itinerary management, ground transportation, accommodations, and other logistics.
- Coordinate and prepare materials for meetings, ensuring executives are well-prepared and all details are in place.
- Handle confidential information with discretion and professionalism.
- Act as a gatekeeper, managing incoming calls, emails, and requests to ensure efficient time management for the executives.
- Liaise with internal and external stakeholders, maintaining a high level of professionalism in all communications.
- Assist with event planning and execution for company meetings, conferences, and off-site events.
- Manage and track expenses, prepare expense reports, and ensure timely processing.
- Support in creating presentations, reports, and other documents as needed.
Qualifications:
- 3+ years of experience as an Executive Assistant, preferably in private equity, finance, or a fast-paced professional environment.
- Bachelors Degree required.
- Proven experience coordinating complex travel arrangements, specifically with private jets.
- Exceptional organizational skills with the ability to multi-task and prioritize effectively.
- Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent communication skills, both written and verbal.
- High level of discretion and professionalism in handling sensitive information.
- Ability to anticipate needs, take initiative, and remain calm under pressure.
