Facilities Services Coordinator

This Is What You’ll Do:

  • Review Leases for maintenance responsibility, notices, restrictions, etc.
  • Assist in coordinating pre-construction inspections for construction projects.
  • Run demographic reports.
  • Assist with and follow up on landlord related items such as: signatures needed, plan approvals, certificates of insurance, tenant improvement allowances, maintenance issues, etc.
  • Liaison with other departments (single point of contact) both internal and external.
  • Host conference calls when needed
  • Assist with researching new vendors
  • Update and manage the facilities internal web page (Octanet page)
  • CMMS (Computerized Maintenance Management System) administrator
  • Assist in keeping maintenance tracker up to date and send out the weekly update
  • Assist FM’s with appropriate follow up with vendors, donor centers, and senior leadership.
  • Assist with general side projects (i.e.; signage, remodels, upgrades, etc.)
  • Assist with HVAC/Freezer contracts, invoice approval packets, LL end of year payback, etc.
  • Assist with project close-outs (Paperwork, lien releases, TI, etc.)
  • Assist drafting letters to landlords, property managers, etc.
  • Order/Pick up/mail/email documents as needed
  • Create and manage donor center flow plans using MS Visio
  • Assist in tracking warranty issues to completion
  • Set up, maintain, and organize department's central files, information, filing, and messages
  • Organize meetings, events, or conferences by arranging facilities, issuing information or invitations, and controlling event budgets.
  • Creates and maintains database and spreadsheet files. Prepares reports, as necessary
  • Maintain the corporate headquarters access card system.
  • Make photocopies and send faxes and other correspondence, as requested
  • Provides historical reference by developing and utilizing information retrieval systems.
  • Performs other duties as assigned by the Sr. Facilities Manager and Director of Facilities.
  • This Is Who You Are:High level of organizational skills and ability to manage multiple projects simultaneously.
  • Must have strong interpersonal skills and ability to work in a team environment.
  • Demonstrated ability to work and communicate professionally, both verbally and in written form, with internal and external customers at all levels.
  • Demonstrated customer service excellence.
  • Ability to perform and manage technically complex projects using independent judgment and personal initiative.
  • Build strong internal and external relationships using effective verbal and written communication skills.
  • Recognize and act on opportunities; adjust direction when situation warrants
  • Advanced Microsoft Excel, Microsoft Word and Microsoft PowerPoint skills.
  • Work independently without regular direct supervision.
  • Approximately 5% travel as required.
  • This Is What It Takes:Associates degree and 3-5 years of facilities/ property management related experience preferred. Other combinations of education and experience considered.
  • Experience supporting multiple managers highly preferred.
  • Ability to view video display terminal images for extended periods - up to ten hours per day.
  • Ability to lift, tug, pull up to twenty-five pounds.
  • Ability to sit for extended periods - up to four (4) hours at a time.
