The Boston rooms that the programming director will be programming include two spaces that are located in the same facility. The Main room, a 288 seated/500 standing and The Lounge 75 seated/120 standing room. See below for the full job description
Position Summary:
Program a full schedule of profitable shows throughout the year; achieved by effective communication and coordination across departments for space usage and aggressive outreach with talent management. Promote an expansion of programming in line with City Winery’s philosophy of tastefully combining the culinary and cultural experience. Drive programming that allows for ample time to sell tickets; reach max attendance and promotes optimal food and beverage selling opportunities. Collaborate across departments on show announcements in the most efficient, effective and timely manner. Be present in nurturing relations between City Winery and artist management and aid in the hand of to Operations day of a show.
Overview of Responsibilities:
? Scout, source, and secure talent to play a key role in the success of the calendar through effective communication and coordination across departments for space usage
? Build offers and negotiate contract terms with music agents and artists in a timely manner
? Collaborate with the Concert Manager, Box Office Manager and Marketing Department to announce shows in the most efficient and timely manner
? Maintain an effective system of storing, sending, and tracking offers, contracts, and deposits
? Direct the marketing of all ticketed events developed through the programming department
? Supervise all aspects of programming and promotion for 200+ events annually: manage calendar, oversee marketing, hospitality, production advance and settlement.
? Seek and or develop creative programming that has the potential to grow into annual events at City Winery properties
? Maintain a pulse on ticket sale progress plus ensure ticket counts are sent to agents as scheduled
? Actively research/identify artists for consideration and potential supporting acts
? Maintain talent database with contact information, lists of previously played venues, and links to music and videos in company database (Google Docs)
? Keep updated spreadsheets for month end reports (monthly concert totals, artist payments, press master List, confirmed payments, etc.) and provide a monthly breakdown of show financials to Accounting
? Actively pursue ideas for potential programming
? Manage website updates for our shows as appropriate
? Organize hospitality communication; build and uphold relationships with hotels, transportation companies and other relevant resources
? Supervise and/or deliver all artist offers and contracts, plus provide a final review of day-of settlements, insuring artists are compensated properly and in a timely manner
? Act as liaison between artist/artist team and on-site management team when applicable.
? Manage programming interns through recruitment, training, project delegation and oversight
? Seek new opportunities to form and maintain partnerships with outside organizations beyond CW’s four walls
? Attend music conferences, events, festivals and other networking opportunities for the purpose of identifying prospective talent, maintaining existing relationships and cultivating new ones with industry professionals.
? Utilize marketing tools (website, newsletter, social media, relationships with media outlets, venues and co-promoters) to promote venue, increase outreach and attendance.
? Work closely with local marketing director to develop and maintain brand personality and event content on website, social media platforms and all other marketing material
? Assist with production/advance at shows and events onsite and off as needed
? Prepare event budgets as needed for events that fall outside the normal programming schedule
Above all, ensure profitability. Maintaining profit margins of at least 30% while working to reduce expenses and maximizing ticket sales.
