Position Summary:
ADM is seeking an Executive Assistant to support our Chief People and Diversity Officer in our Chicago, IL Global Headquarters. Are you the kind of person who plans for every possible scenario? You love to create an organizational “system” for your executive and would enjoy helping keep an HR team moving forward on projects and initiatives. You are good at dot connecting across an organization, anticipating people’s needs, and helping a senior executive and their leadership team be as effective and efficient as possible. You have organizational savvy, can maintain confidentiality and are good navigating people and priorities.
The details:
This individual will be responsible for performing a variety of responsibilities, ranging from routine to complex, while maintaining a calm and confident persona. This individual will:
Ensure confidentiality on all matters
Proactively manage complex and often fluid calendars, taking initiative to resolve scheduling conflicts as necessary
Assemble and coordinate the preparation of documents, presentations, etc. Reviewing the content as well to ensure alignment
Prepare PowerPoint presentations to be used for internal and external uses
Manage and maintain administrative, reference and follow-up file systems, using digital tools where appropriate
Coordinate global travel arrangements and handles expense reports
Coordinate and manage meetings and events, as required
Support leaders, at times, during non-standard working hours during travel or as company priorities dictate
Job Requirements:
We need a hands-on problem solver that is resourceful and proactive, with a continuous improvement mindset and a positive attitude. This will be evident by having:
A strong spirit of teamwork and cooperation and a proven ability to cultivate and maintain positive working relationships with people at all levels inside and outside of the organization
Maturity, professional demeanor and personal discretion to interact with business leaders
Independent decision making and problem solving skills with the ability to develop solutions in a logical and systematic way
Excellent communication skills emphasizing writing and speaking succinctly, clearly and effectively
Excellent listening, organizational and time management skills with an attention to detail and follow-up
Demonstrated ability to work under pressure to meet deadlines
Demonstrated ability to exercise prudent judgment involving issues of a highly-confidential and sensitive nature
Ability to maintain a positive attitude and adapt to changes in environment and responsibilities
Commitment to continuous learning
Proficiency in the Microsoft Office Suite (Outlook, Calendar, Word, PowerPoint, TEAMS, and Excel) required
A Bachelor’s degree is preferred, but not required, with a minimum of five years of executive assistant related experience or equivalent experience
Preference for previous experience supporting a CHRO
