Job Description
The College of Liberal Arts and Sciences is seeking an Executive Assistant to Dean who will coordinate and manage administrative functions under general direction for the Dean of Humanities. The successful candidate will manage the dean's calendar, coordinate travel and serve as a liaison to various administrative offices at the University.
This is an in-person position located on ASU's Tempe Campus that may provide limited opportunities for remote work of up to 2 days a week. Dean or vice president-level approval is required.
Working Environment
Activities are performed in an environmentally controlled office setting.Subject to extended periods of sitting, keyboarding and manipulating a computer mouse.Required to stand for varying lengths of time and walk moderate distances to perform work.Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds.Regular activities require ability to quickly change priorities.Communicate to perform essential duties.Background Check Statement

Minimum Qualifications

Essential Duties
Manage Executive Calendar:
Oversee and maintain the dean's calendar, coordinating schedules to ensure efficient time management and prioritization of key meetings and events.Coordinate Travel and Expenses : Arrange all travel logistics for the dean, including transportation and accommodation. Prepare and submit detailed travel expense reports for reimbursement.Prepare Meeting and Event Materials : Compile, organize, and maintain background materials and pertinent documents for meetings, events, and travel, ensuring follow-up items are tracked and completed.Serve as Liaison : Act as a primary point of contact between The College and various university offices, including the President's and Provost's offices, fostering effective communication and collaboration.Guide Staff on Policies:
Provide guidance to unit staff on college policies and procedures, promoting adherence and consistency across departments.Organize Special Events : Coordinate or assist in planning special events for the dean, including arranging equipment, catering, sending invitations, and managing RSVPs.Compose Official Correspondence:
Independently draft correspondence on behalf of the dean, ensuring communications are accurate, professional, and reflect an understanding of relevant issues.Process Financial Forms:
Handle financial documentation, including processing business forms for reimbursements, purchases, and other financial transactions on behalf of the dean.Lead Special Projects:
Oversee or contribute to special assignments and projects as directed by the dean or Assistant Director of Administrative Support Operations.Participate in Advisory Board : Serve on The College Administrative Cohort Advisory Board. Provide leadership on event programming and promotional coordination. Perform other cohort duties as assigned.Provide Office Support : Offer backup assistance to other office staff to maintain seamless operations during peak times or staff absences.
