Job Overview

The Estimating Coordinator is a key support role within the estimating team, focused on assisting estimators in the preparation of competitive, accurate bids for construction projects, with a focus on flooring, countertops, and window blinds. This individual will be responsible for managing project files, downloading and organizing plans, tracking bid deadlines, conducting product research, and providing overall team support. The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple priorities in a fast-paced environment.

Key Responsibilities

File Management and Organization:

· Maintain well-organized, up-to-date digital files for project documents, including plans, specifications, addenda, and other essential project information.

· Create and manage bid folders for each project, ensuring consistency and accessibility for the estimating team.

Plan Downloads and Document Distribution:

· Download, distribute, and update project plans and specifications from various sources such as Procore, Building Connected or other bid software.

· Regularly check for addenda and document revisions to ensure the estimating team has the latest project details and specifications.

Bid Deadline Tracking and Scheduling:

· Monitor bid schedules and maintain a detailed calendar of deadlines for project submissions and internal review milestones.

· Send timely reminders and updates to the estimating team on upcoming deadlines, coordinating with team members to ensure all submissions are on time.

Product Research and Supplier Communication:

· Conduct product and material research to provide estimators with accurate information on specifications, installation procedure, pricing, and availability,

· Build and maintain relationships with suppliers, gathering quotes and product details as needed to support bid preparation.

Team Support and Coordination:

· Assist estimators with various administrative and logistical tasks.

· Confirm unit matrix accuracy by performing detailed counts of unit types, building types and total # units.

· Act as a communication point within the team, facilitating information sharing and ensuring that all team members are aligned with project updates and requirements.

· Coordinate with other departments, such as procurement and project management, to ensure smooth workflow and support cross-functional collaboration.

Document Preparation and Review:

· Help prepare and organize bid submission documents, ensuring all information is complete, accurate, and aligns with project requirements.

· Review bid packages for consistency and accuracy before submission.

Qualifications

Education: High school diploma or equivalent required; an Associate’s or bachelor’s degree in business administration, Construction Management, or a related field is preferred.

Experience: 2+ years of experience in an administrative support role within the construction industry, preferably with an emphasis on flooring, countertops, or window blinds.

Skills:

· Exceptional organizational skills and attention to detail, with the ability to manage multiple projects and deadlines.

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with construction management software such as Procore, Building Connected or PlanSwift.

· Strong written and verbal communication skills, with the ability to work collaboratively in a team environment.

· Basic understanding of construction materials and terminology, especially related to flooring, countertops, and window treatments.

Preferred Qualifications

· Previous experience supporting a construction estimating team or similar role.

· Knowledge of digital file management systems and construction bidding processes.

· Familiarity with product research, pricing, and supplier communications.
