ESSENTIAL FUNCTIONS:• Provide administrative support and assistance to the Director of Sales and Events, and entire sales department. • Field incoming calls and routes inquiries to the appropriate team members• Distribution of all internal and external correspondence• Respond to all lane inquiry requests promptly, providing detailed information and personalized solutions to meet client needs and maximize bookings• Maintain departmental files• Assist all department team members with Information Systems support• Support Director of Sales in coordination of all aspects of operational set-up and break down of events (equipment needs, inventory, rental needs, and station set-up)• Provides sales administrative support (prospecting lists, sales system database management, floor plan creation, etc.) as directed by Director of Sales• Provides marketing administrative support (email lists, creative service requests, etc) in support of Director of Sales
• Assists Culinary Department administration needed for an event as directed by Director of Sales• Must maintain a neat, clean and well-groomed appearance• Maintain files in proper order after the special event order has been distributed• Participate in internal meetings, document key discussion points, and distribute detailed recaps to team members following the meeting. • Create all digital and print signage for events. • Assist Director of Sales as requested with special needs by the client. • Due to the nature of the hospitality industry; you may be required to work varying schedules to reflect the business needs of the venue
ACCOUNTING FUNCTIONS:• Process all deposits and payments in a timely manner• Track status of payments made for all events with Sales Managers• Follow up on all accounts receivable and provide monthly update to Director of Sales and Finance Manager
STAFF FUNCTIONS:• Maintain supply of assembled sales kits and collateral materials• Update sales kit inserts and menus as needed• Generate a competitive analysis report on a quarterly basis• Special projects as assigned by Director of Sales• Distribution of final contracted SEO’s to appropriate partiesInventory Functions• Maintain and order all Linen inventory & cleaning • Order equipment and maintain inventory / par levels & report deficiencies to Director of Sales• Order all specialty items as sold by Sales Team and upsell to client as opportunity arises as directed by Director of Sales• Ensures equipment rentals for SE are ordered and returned to vendors as directed by Director of Sales
QUALIFICATIONS:• Must have comprehensive knowledge of food and beverage preparations, service standards, guest relations and etiquette • Knowledge of all appropriate table settings and etiquette• Basic Mathematical skills• Ability to lift and carry objects up to 35 pounds• Ability to work in a very fast paced environment with considerable noise and interruptions. Must be able to change activity frequently.• High School Diploma: College degree preferred.• Basic understanding of restaurant and venue operations, including event planning, food preparation, buffet and station set up, menu creation, cost tracking, and the use of computer programs like word processing and spreadsheets. • Entry level knowledge of legal and HR issues with regards to the hospitality industry (federal, state, and local law regarding liquor, labor and health code regulations) POS systems• Exhibits positive attitudes; excellent written and verbal communication; high level of organizational and follow-through skills; communicates assertively; maintains personal integrity• Ability to handle various projects at one time make good decisions; delegates; follow up; communicate with staff and guests in a positive manner
