Position Summary ~ ONSITE POSITION~
LOCATED IN PROVIDENCE, RHODE ISLAND
The HRIS Systems Specialist is responsible for the maintenance, support, and optimization of the hospital’s Human Resources Information System (HRIS). This role ensures that HR technology solutions align with organizational goals and facilitate efficient HR processes across all departments. The HRIS Systems Specialist will act as a technical expert and provide training, troubleshooting, and analysis for system improvements. This position requires close collaboration with HR, Payroll, IT, and other internal stakeholders to ensure the integrity of HR data and seamless system operations within the acute care environment.
Key Responsibilities
HRIS Maintenance and Support:
Oversee the day-to-day operations and maintenance of the HRIS, ensuring data accuracy and integrity.
Serve as the primary point of contact for HRIS-related inquiries, troubleshooting technical issues, and supporting end-users.
Collaborate with HR and IT teams to support any software updates, enhancements, or upgrades.
Data Management and Reporting:
Ensure data consistency, accuracy, and compliance with internal policies and regulatory requirements.
Generate and manage reports for HR metrics, such as turnover, headcount, time and attendance, and other key performance indicators.
Assist HR leaders in developing data-driven insights to support decision-making.
System Optimization and Project Support:
Lead initiatives to improve or upgrade HR technology, streamlining processes and ensuring compliance with healthcare regulations.
Participate in HRIS-related projects, including configuration changes, new module implementations, and system integrations.
Identify opportunities to improve efficiency and align system capabilities with HR and organizational needs.
End-User Training and Documentation:
Develop training materials and conduct sessions for end-users to improve their understanding and use of the HRIS.
Maintain up-to-date documentation, including user guides, standard operating procedures, and troubleshooting guidelines.
Compliance and Data Security:
Ensure HRIS security protocols comply with all regulatory standards, including HIPAA and any state and federal laws specific to healthcare.
Regularly review system access and permissions to maintain confidentiality and data protection standards.
Qualifications
Education:
Bachelor’s degree in Human Resources, Information Systems, Business Administration, or a related field. Equivalent work experience may be considered in lieu of a degree.
Experience:
Minimum of 3 years of experience with HRIS systems in a healthcare or similar regulated environment.
Previous experience in an acute care hospital setting is preferred.
Proficiency in HRIS platforms such as Workday, Kronos, UKG, Lawson, or similar systems.
Experience with data analysis, report generation, and system integrations.
Skills and Abilities:
Strong technical aptitude with the ability to troubleshoot system issues effectively.
Excellent analytical skills and attention to detail.
Proficient in Microsoft Office Suite, with advanced Excel skills.
Strong communication and interpersonal skills, with a commitment to supporting diverse end-users.
Knowledge of healthcare-specific regulatory requirements, such as HIPAA.
Working Conditions
Environment:
Primarily an office environment within the hospital. Some remote work may be permitted depending on organizational policy.
Physical Requirements:
May require prolonged periods of sitting at a desk and working on a computer.
Occasional travel between hospital locations may be necessary if supporting a multi-site health system
