DescriptionJob SummaryThis position is primarily responsible for downloading, printing, and preparing documents to be either uploaded into EMSafe or delivered via the US Postal Service. This position will provide backup support for all Mailroom functions.Major Responsibilities/ActivitiesPrint items queued for printingPrepare printed documents for mail out based on the document requirementsPrint and mail out documents requested by clients or patientsDownload correspondence and payments from banking lockboxesUpload correspondence and payment documents into EMSafePerform electronic transfer of funds to client bank accounts using bank scanners and iStreamRespond to emails received via the Mailroom’s email inbox following the EMS|MC company guidelinesConduct all job tasks, duties, and interactions with professionalism, respect, a positive attitude, and in accordance with company compliance policies and applicable government regulationsAdditional Responsibilities/ActivitiesPerform the duties of a Mailroom Specialist I as neededAssist in training of new hires and cross training throughout the teamCreate and/or update job aids and SOPsTesting of EMS|MC proprietary functionality as neededPerform other necessary tasks as assigned by the Shared ServicesFlexibility to work extended hours to support the business as requiredRequirementsRequired Education, Skills, & ExperienceHigh School DiplomaStrong sense of confidentiality and professionalism regarding financial information, PHI, and employee relationsStrong sense of teamwork, strong interpersonal skills, and the ability to maintain composure in a fast-paced, high-pressured environmentHighly organized and multi-tasking with ability to manage time and prioritize workAbility to function well within a cross-functional team setting and independentlyWilling and able to adapt to changes in work environment, procedures, priorities, and job dutiesDetail-oriented, schedule-minded, and highly organizedTakes initiative and is self-motivated with the ability to lead the team through daily activities without prompting from SupervisorIndividual is a role model for other team members in all aspects of their performance, including but not limited to quality, company values and work ethic.Thinks independently and makes decisions regarding work processes using critical thinking and analysisPreferred Education, Skills, & ExperienceStrongly prefer prior experience in payment handling and/or mailroom or lockbox proceduresPrior experience in reconciliation, scanning/imaging, or data entryKnowledge of HIPAA requirements and regulationsStrong and demonstrated proficiency in Microsoft Excel, including the ability to create accurate, working spreadsheets containing formulasWorking knowledge of RescueNet Billing and EMSafeWorking Environment/Physical RequirementsGeneral office environmentTyping, sitting, standing, walking, some light liftingUse of basic office equipment such as computer, fax, printer, copier, telephone, scannerSome use of postage machineSometimes required to work long hours and weekends without advanced notice
